Position Overview:
Information Technology Services (ITS) at the University at Albany is seeking candidates for the role of ITS Purchasing Associate.

This pivotal position resides within the Central Business Office of ITS, which functions as the central hub for all financial, operational, and administrative activities.

The Purchasing Associate will be tasked with acquiring equipment, services, and supplies managed by ITS for a variety of projects and initiatives, including the University’s AI+ initiative and other operational endeavors.

It is essential that all procurement activities adhere to the procurement policies and procedures established by New York State, the State University of New York (SUNY), and the University at Albany.

The ideal candidate will possess exceptional organizational skills, a keen eye for detail, and thrive in a dynamic, high-demand setting. Strong interpersonal and analytical abilities are crucial, along with the capacity to build collaborative relationships with various campus stakeholders.

The Associate will collaborate closely with Procurement Services to navigate the complexities associated with diverse purchasing activities.

This role presents a unique opportunity for a strategic thinker who is dedicated to developing the expertise necessary to recommend and implement effective procurement strategies that align with established purchasing regulations.

The Associate will conduct their responsibilities with integrity and a strong customer service orientation. They should be skilled in managing multiple priorities, proposing process enhancements, and be comfortable working both independently with minimal supervision and as part of a team.


Key Responsibilities:

1. Ensure compliance with all New York State, SUNY, and University at Albany purchasing regulations.

2. Provide consultation and guidance to ITS staff regarding procurements of varying complexity; identify the appropriate procurement methods.

3. Oversee the process for Requests for Proposals (RFPs), Invitations for Bids (IFBs), Requests for Quotes (RFQs), and Single/Sole Source procurements, including review, approval, negotiation, and contract obligations.

4. Prepare and manage IT-related requisitions, contracts, and purchase orders; oversee term dates.

5. Analyze procurement data to develop a comprehensive understanding of ITS procurements and offer recommendations for efficient purchasing decisions.

6. Stay informed about evolving procurement regulations and communicate relevant updates to ITS staff as necessary.


Additional Responsibilities:

1. Provide backup support and assist with Central Business Office functions as required.

2. Be available for scheduled support and consultation outside of regular business hours, including occasional evenings, holidays, or weekends.


Qualifications:
Minimum Qualifications:

1. A bachelor’s degree from an accredited college or university.

2. Two years of professional experience in purchasing, contracting, or related fields.

3. Demonstrated ability to cultivate inclusive and equitable relationships within a diverse campus community.

Preferred Qualifications:

1. Experience with New York State purchasing and contracting processes.

2. Proficiency in drafting and negotiating contracts and related documentation.


Additional Information:

Professional Rank and Salary Grade: Senior Staff Assistant - SL-3, $60,000-65,000.

Special Notes: Visa sponsorship is not available for this position. This role requires in-person attendance and is not eligible for telecommuting.
