Position Overview:
Information Technology Services (ITS) at the University at Albany is seeking candidates for the role of ITS Purchasing Associate. This position is integral to the Central Business Office within ITS, which acts as the central hub for all financial, operational, and administrative functions.
The Purchasing Associate will be tasked with acquiring equipment, services, and supplies managed by ITS for various projects and initiatives, including the University's AI+ initiative and other operational activities.
The individual will ensure that all procurement activities adhere to the regulations set forth by New York State, the State University of New York (SUNY), and the University at Albany.
Key Responsibilities:
- Ensure compliance with all purchasing regulations and policies.
- Advise ITS personnel on procurement processes for varying complexities and amounts.
- Oversee the management of Requests for Proposals (RFPs), Invitations for Bids (IFBs), Requests for Quotes (RFQs), and Single/Sole Source procurements, including the review and negotiation of contracts.
- Prepare and manage IT-related requisitions, contracts, and purchase orders, ensuring proper monitoring of term dates.
- Analyze procurement data to provide insights and recommendations for effective purchasing decisions.
- Stay updated on evolving procurement regulations and communicate changes to ITS staff as necessary.
Additional Duties:
Provide support for Central Business Office activities as required and be available for consultation outside of regular business hours, including evenings and weekends.
Qualifications:
Minimum Requirements:
A bachelor's degree from an accredited institution and two years of relevant professional experience in purchasing, contracting, or related fields. Candidates must demonstrate the ability to cultivate inclusive relationships within a diverse community and support principles of diversity, equity, access, inclusion, and belonging.
Preferred Qualifications:
Experience with New York State purchasing and contracting processes, as well as proficiency in drafting and negotiating contracts.
Compensation:
Professional Rank and Salary Grade: Senior Staff Assistant - SL-3, with a salary range of $60,000-65,000.
