Position Overview:
Information Technology Services (ITS) at the University at Albany is seeking candidates for the role of ITS Purchasing Associate.

This pivotal position is located within the Central Business Office of ITS, which acts as the core for all financial, operational, and administrative functions.

The Purchasing Associate will be tasked with acquiring equipment, services, and supplies managed by ITS for various projects and initiatives, including the University's AI+ initiative and other operational needs.

It is essential that all procurement activities adhere to the regulations set forth by New York State, the State University of New York (SUNY), and the University at Albany.

The ideal candidate will exhibit exceptional organizational skills, meticulous attention to detail, and thrive in a dynamic, high-pressure environment. Strong interpersonal and analytical abilities are crucial, along with the capacity to build collaborative relationships with campus stakeholders.

The Associate will collaborate closely with Procurement Services to navigate the complexities associated with diverse purchasing activities.

This role presents a unique opportunity for a strategic thinker who is eager to develop the skills necessary to recommend and implement effective procurement strategies that align with established purchasing regulations.

The Associate will conduct their responsibilities with integrity and a strong customer service orientation.

They should be proficient in managing multiple tasks, suggesting process enhancements, and are comfortable working independently or as part of a team.

Key Responsibilities:


• Ensure compliance with all purchasing regulations set by New York State, SUNY, and the University at Albany.

• Provide consultation and guidance to ITS staff regarding procurement processes of varying complexities.

• Oversee the management of Requests for Proposals (RFPs), Invitations for Bids (IFBs), Requests for Quotes (RFQs), and Single/Sole Source procurements, including the review, approval, negotiation, and contractual obligations.

• Prepare and process IT-related requisitions, contracts, and purchase orders while monitoring and managing contract terms.

• Analyze procurement data to gain a comprehensive understanding of ITS purchasing activities and make recommendations for improved decision-making.

• Stay informed about changes in procurement regulations and communicate updates to ITS staff as necessary.


Additional Responsibilities:


• Provide support and assistance with Central Business Office tasks as required.

• Be available for scheduled support and consultation outside of regular business hours, including evenings and weekends.


Qualifications:
Minimum Requirements:

• A bachelor's degree from an accredited institution.

• A minimum of two years of professional experience in purchasing, contracting, or a related field.

• Demonstrated ability to cultivate inclusive and equitable relationships within a diverse community.

Preferred Qualifications:

• Experience with New York State purchasing and contracting processes.

• Proficiency in drafting and negotiating contracts and related documentation.


Additional Information:

Professional Rank and Salary Grade:
Senior Staff Assistant - SL-3, $60,000-65,000.

Special Notes:
Visa sponsorship is not available for this position. This is an in-person role and is not eligible for remote work.
