Job Overview

Position Summary

The Membership Services Administrator plays a vital role in providing essential clerical and administrative assistance to the Club's team. This position involves preparing various documents and reports, managing schedules, and maintaining both electronic and physical filing systems.

Work Hours
Afterschool Program, 12:30 PM - 6:30 PM, with potential for additional hours based on job requirements.

Key Responsibilities

  • Conducts routine administrative tasks, including drafting correspondence and reports as directed by the supervisor, ensuring all materials are proofread for accuracy before submission.
  • Maintains an organized master calendar of Club events and activities, effectively communicating details to staff, volunteers, members, and families as needed.
  • Handles incoming calls, providing general information and directing inquiries to appropriate personnel or taking messages when necessary.
  • Oversees the management of electronic and hard copy filing systems, ensuring timely updates and easy access to information.
  • Monitors office supply levels and informs the Site Coordinator of any necessary orders.
  • Acts as the primary receptionist for the Club, welcoming members and visitors while keeping accurate attendance and visitor logs.
  • Performs additional administrative or secretarial tasks as assigned.

Relationships

Internal: Maintains regular communication with Club staff (both professional and volunteer) and the supervisor to exchange information, address issues, and provide guidance.
External: Engages with members, families, and the public to share and gather information as directed.

Qualifications

  • High school diploma or equivalent.
  • Minimum of one year of clerical experience.
  • Training in administrative skills and proficiency with standard office equipment.
  • Typing/keyboarding skills of at least 50 words per minute.
  • Strong written and verbal communication abilities.
  • Excellent organizational skills and attention to detail.
  • Effective customer service skills.
  • Ability to maintain confidentiality.
  • Successful completion of a drug screening.
