IntePros is currently seeking an Administrative Specialist to provide essential office support for our client. This role involves a variety of administrative tasks aimed at assisting both staff and management within a branch environment. The position operates under the guidance of the Office Administrator or Branch Manager.

Key Responsibilities:

  • Support staff and management with designated administrative duties.
  • Organize and manage business schedules, including travel arrangements, client and staff meetings, conferences, and webinars.
  • Serve as a liaison with travel and vehicle rental services as required.
  • Coordinate employee events and functions; draft and format correspondence, memos, reports, and other documents while ensuring accuracy in spelling, grammar, and formatting.
  • Prioritize and manage information and communication; maintain logs and databases.
  • Prepare proposals and reports to meet project deadlines; assist with reproduction and other project-related tasks.
  • Help process timesheets and expense reports as necessary.
  • Collaborate with the Regional Finance Manager on branch accounting tasks, including managing local operating accounts and accounts payable.
  • Maintain the Branch Library and relevant databases.
  • Coordinate service calls for office equipment maintenance.
  • Act as the point of contact for vendors supplying office and field materials.
  • Facilitate communication between branch staff and property management for office maintenance issues.
  • Respond to requests for assistance from branch and corporate personnel.
  • Assist in training new administrative staff.
  • Perform receptionist duties when required.
  • Run errands as needed.
  • Execute related tasks as assigned.

Required Knowledge, Skills, and Abilities:

  • Proficient in Windows-based software, including Word, Excel, and PowerPoint; experienced in using word processing and database management tools.
  • Understanding of office operations, accounting procedures, and administrative policies.
  • Ability to comprehend and write simple instructions and correspondence; capable of effectively presenting information in small group settings.
  • Mathematical skills for basic calculations.

Experience and Training:

  • High school diploma or GED with two to three years of administrative experience; typing proficiency of 40 to 50 wpm.
  • Experience with office equipment and software, or a combination of education and experience that equips the candidate with the necessary skills for the role.

Physical Requirements:

  • Regularly required to use hands for tasks; must be able to talk and hear. The role involves sitting and standing, with occasional stooping or kneeling, and the ability to lift up to 25 pounds.

Working Conditions:

  • Office environment with moderate noise levels.
  • Driving may be required for company-related tasks.
