Job Summary:

The Executive Staff Assistant provides high-level administrative support to the Chair of the Department of Urology at Brigham & Women's Physicians Organization. This role requires exceptional organizational skills, attention to detail, and the ability to maintain confidentiality. The successful candidate will be responsible for managing complex calendars, coordinating meetings and travel arrangements, and providing exceptional customer service to senior hospital leaders, faculty, and staff.

Key Responsibilities:
  • Administrative Support: Provide administrative support to the Chair, including managing calendars, coordinating meetings, and making travel arrangements.
  • Communication: Develop and maintain effective communication with departmental and hospital administration, faculty, trainees, and staff.
  • Calendar Management: Maintain and manage complex calendars, ensuring seamless coordination of meetings and appointments.
  • Travel Arrangements: Coordinate travel arrangements, including flights, hotel accommodations, and rental cars.
  • Candidate Coordination: Manage candidate interviews, first round and second round, onsite interviews, and coordinate with stakeholders.
  • Special Projects: Provide program management for the Surgery Grand Rounds Course Director and oversee administrative processes for HMS appointments and reappointments.
Requirements:
  • Education: Bachelor's degree strongly preferred, Master's degree in a relative field preferred.
  • Experience: Minimum 3-5 years of related work experience and/or direct executive-level support experience.
  • Skills: Excellent written, interpersonal, and oral communication skills; self-motivated and able to function independently; high level of attention to detail and quality standards.
