Position Title: Invoice Specialist / Administrative Staff

Scope of Work:
The Invoice Specialist is expected to demonstrate a high level of professionalism and reliability. The ideal candidate will possess exceptional organizational skills and a keen attention to detail. Strong problem-solving abilities, along with excellent communication and negotiation skills, are essential for success in this role. The candidate should be comfortable working both independently and as part of a team.

Responsibilities:
- Manage overtime requirements during month-end and year-end closing periods, as well as special projects as assigned by management.
- Handle assignments of varying complexity, adhering to established practices and procedures to analyze data and situations effectively.
- Contribute to the achievement of organizational goals and objectives, recognizing that failure to meet targets may result in scheduling delays and financial implications.
- Engage daily with supervisors, procurement staff, functional peers, suppliers, and internal stakeholders.
- Work autonomously on routine tasks while receiving guidance on more complex assignments, utilizing developing professional concepts to address a range of challenges.

Key Skills and Qualifications:
- Review and input new contracts and statements of work into the accounting system.
- Assess consultants' timesheets, rectify discrepancies, and enter time into the work order system.
- Generate invoices throughout the month for fixed-price and standard contracts.
- Maintain organized files and provide invoice copies to clients or headquarters.
- Act as a liaison between local project managers and headquarters regarding billing matters.
- Monitor the progress of contract completion and billing activities.
- Reconcile monthly billing summaries from project managers with time entries in work orders to ensure accuracy and completeness.
- Address inquiries related to billing.

Education and Experience:
- 0-2 years of experience with a master's degree; 2-4 years of experience with a bachelor's degree; 6-8 years of experience with an associate's degree; or 8-10 years of experience with a high school diploma.

Physical Abilities:
- Ability to work at a computer for extended periods.
- Capacity to sit for long durations.
- Reach and extend hands or arms in various directions.
- Manual dexterity to manipulate objects, such as typing on a keyboard.
- Comprehend and communicate information effectively in both spoken and written forms.
- Apply general principles to specific problems to derive logical solutions.
- Understand and interpret verbal communication from others.
