Gift Stewardship Program Coordinator

The Wisconsin Foundation and Alumni Association (WFAA) is on the lookout for a skilled Gift Stewardship Program Coordinator. This pivotal role within the Wisconsin Medicine Stewardship Team focuses on project management and support functions. Key responsibilities encompass managing the gift acknowledgment process, leading stewardship initiatives, overseeing the tribute notification program, and contributing to the execution of the Tier-Based impact reporting program.

Position Overview:

This role operates in a hybrid capacity, requiring in-office presence at least two days per week.

Core Responsibilities:

Gift Acknowledgment Management:

  • Oversee the acknowledgment process for leadership gifts, including generating regular gift reports, coordinating development notes, and managing the approval process for acknowledgment letters.
  • Develop and update leadership acknowledgment letter templates on a semi-annual basis.
  • Dispatch monthly thank you cards for recurring gifts.

Project Leadership for Stewardship Initiatives:

  • Organize planning sessions and document outcomes.
  • Maintain project timelines to ensure timely completion of deliverables.
  • Collaborate with various stakeholders to drive projects to fruition.
  • Current initiatives include:
    • Faculty Staff Giving Campaign
    • SMPH Investiture
    • Cause-based impact reports
    • Healthcare Heroes
    • Loyal Giving Stewardship
    • Seasonal greeting cards

Execution of Tier-Based Impact Reporting:

  • Assist in reviewing and editing beneficiary responses.
  • Utilize design software for layout and presentation of reports.
  • Support the assembly and distribution of reports to donors.

Management of Memorial and Tribute Notification Program:

  • Analyze data reports and issue tribute letters on a bi-weekly basis.
  • Act as the primary contact for inquiries related to memorials and tributes.
  • Collaborate with the central stewardship team to establish best practices.

Support for Faculty Investiture Celebrations:

  • Manage logistics for ordering recognition items for honorees.

Leadership in Thankview Campaigns:

  • Design and implement Thankview initiatives.
  • Provide guidance on video production and communication strategies.

Canva Expertise:

  • Utilize existing templates to create stewardship materials.
  • Share best practices and tips for effective design.
  • Coordinate with marketing for new template requests.

Donor Recognition Activities:

  • Update naming opportunities in the donor management system.
  • Draft descriptive content for naming opportunities.
  • Conduct audits of donor signage in facilities.
  • Collaborate with facilities for the installation of recognition signage.

Qualifications:

  • Minimum of 2 years' experience in project management, donor relations, or a similar field.
  • Proficient in Microsoft Office Suite, especially Word, Excel, and Outlook.

Preferred Skills:

  • Strong organizational and analytical skills.
  • Excellent communication abilities, both verbal and written.
  • Detail-oriented with a proactive approach to problem-solving.
  • Customer service-oriented mindset.
  • Ability to manage multiple projects and priorities effectively.
  • Experience in creating visual content using design software is advantageous.
  • Familiarity with donor management systems and video communication tools.
  • Experience in crafting donor appreciation communications.
