Position Overview: We are looking for a meticulous and organized individual to take on the role of Bookkeeper and Office Manager at Bluegrass Educational Technologies, LLC. This position is vital for maintaining the efficiency of our office operations and providing essential administrative support to our management team.

Key Responsibilities:

  • Answering incoming calls and greeting visitors with a warm and professional demeanor.
  • Organizing and maintaining both physical and digital filing systems for easy access to important documents.
  • Providing clerical and administrative assistance to management, including scheduling appointments, preparing reports, and coordinating meetings.
  • Overseeing the Chart of Accounts to ensure financial records are accurate and current.
  • Managing the procurement of supplies and equipment as authorized, including issuing purchase orders.
  • Monitoring inventory levels of office supplies and reordering as necessary to maintain an efficient workspace.
  • Handling accounts payable and receivable, and assisting in budget management.
  • Issuing invoices and managing sales tax submissions across multiple states.
  • Coordinating with third-party logistics providers to ensure timely delivery of products.
  • Updating employee commission records and ensuring accurate compensation calculations.
  • Assisting with state and district solicitations by coordinating and submitting required documentation.
  • Processing payroll across multiple states while ensuring compliance with legal and regulatory standards.
  • Collaborating with accountants during tax preparation by providing necessary documentation.
  • Managing employee onboarding processes related to payroll, benefits, and insurance.
  • Assisting with health benefits and corporate insurance renewals to ensure employee coverage.
  • Identifying discrepancies and communicating them to management while implementing cost-saving measures to enhance efficiency and profitability.

Qualifications:

  • High school diploma or equivalent.
  • Experience in bookkeeping, preferably with QuickBooks desktop (minimum of 1 year).
  • Experience as an administrative assistant and receptionist (minimum of 1 year).
  • Proficiency in Microsoft Office, especially Excel.
  • Self-motivated with strong time management and organizational skills.
  • Ability to assist management, sales teams, and other departments as needed.
  • Excellent written and verbal communication skills for effective interaction with team members, customers, and vendors.
  • Personal attributes: Friendly and engaging personality, customer service-oriented, team player, critical thinker, and a commitment to continuous learning.
