Key Responsibilities:
- Deliver administrative assistance to the executive team, including travel arrangements (both domestic and international), expense tracking, calendar management, and meeting coordination.
- Welcome visitors, determine the purpose of their visit, and direct them to the appropriate personnel.
- Organize and coordinate company-wide events and activities.
- Oversee office furniture requirements and assist with office relocations and setups.
- Maintain an inventory of office supplies, equipment, and furniture.
- Manage the office ledger, assist in budget preparation, and monitor financial balances.
- Support office-wide recruitment efforts by managing resumes, scheduling interviews, and gathering feedback.
- Facilitate new hire orientation and prepare necessary office equipment, including access cards and documentation.
- Act as a member of the Fire Safety and Safety Committee to ensure compliance with safety regulations.
- Handle contract requests and provide additional support as needed.
Qualifications:
- 5-8 years of relevant administrative experience with a demonstrated history of increasing responsibilities.
- A flexible team player with the ability to prioritize tasks and work independently with minimal supervision.
- Proficient in managing office technology and maintaining confidentiality in record-keeping.
- Strong organizational skills with the capability to manage multiple tasks simultaneously.
- Excellent communication and problem-solving abilities, with experience in an international context.
- A willingness to learn new skills and seek additional opportunities for contribution.
- Proficient in Microsoft Office Suite, including Word, PowerPoint, Excel, and Outlook.
