Position Overview

The Reservations and Sales/Marketing Coordinator plays a pivotal role in ensuring the smooth operation of group reservations and marketing initiatives within Sonesta Hotels. This position requires a detail-oriented individual who can manage multiple tasks efficiently while maintaining a high level of customer service.

Key Responsibilities :

  • Manage all incoming group reservation requests, including modifications and cancellations, ensuring accurate data entry in the system.
  • Prepare and maintain rooming lists and billing arrangements for group bookings.
  • Conduct daily inventory checks to ensure accuracy and availability.
  • Collaborate with the Front Desk Supervisor to manage VIP and suite bookings effectively.
  • Generate and analyze daily transaction reports to monitor performance.
  • Assist the Director of Sales and Marketing (DOSM) with advertising needs, including design concepts and approvals.
  • Work closely with the DOSM and Field Marketing Manager (FMM) to develop and implement social media strategies.
  • Ensure that the hotel’s website and online promotions are up-to-date and accurately reflect current offerings.
  • Support the DOSM in various marketing initiatives as required.
  • Ensure that marketing materials are prominently displayed throughout the hotel.
  • Compile weekly pick-up reports and participate in related meetings to adjust bookings as necessary.
  • Manage requests from internal bloggers and media influencers, ensuring proper vetting and approvals.
  • Meet bi-weekly with the DOSM to discuss ongoing and upcoming marketing projects.
  • Act as the hotel’s social media champion, adhering to corporate guidelines for postings.
  • Promote special events, such as happy hour parties, through email campaigns and direct outreach.
  • Collaborate with the FMM and DOSM to maintain and update various online platforms with hotel information.
  • Assist in the creation of monthly e-blasts directed by the DOSM.
  • Participate in special projects as assigned by the DOSM.
  • Prepare and send monthly commission reports to the Controller.
  • Process monthly group commissions for approval and payment.
  • Maintain and update the email database as necessary.
  • Regularly update the image library with the latest hotel photos.
  • Review and update on-hold media quarterly or seasonally.
  • Serve as the Delphi Administrator, ensuring system accuracy and functionality.
  • Investigate discrepancies in daily activities and report findings promptly.
  • Stay informed about updates and new procedures related to Delphi and Property Management Systems.
  • Other related duties may be assigned as needed.

Qualifications :

  • A minimum of 2 years of experience in a hotel sales coordinator role is preferred.
  • High School Diploma or GED is required.
  • Proficiency in Delphi, OPERA Database software, and Microsoft Office Suite is essential.
  • Fluency in English is required.
  • Strong verbal and written communication skills are necessary for effective interaction with guests and team members.
  • Ability to perform calculations related to discounts, commissions, and other financial figures.
  • Strong problem-solving, reasoning, and organizational skills are essential.
