Job Overview

Assists the Director of Sales and Marketing in executing all hotel-related promotional activities, including social media management and local advertising initiatives. This role is responsible for overseeing daily and monthly reservation tasks for both group and business transient clients, in addition to managing various reservation-related responsibilities. Acts as the on-site social media advocate and collaborates with the Director of Sales and Marketing and Field Marketing Manager on the design and execution of marketing programs. This position also provides support to the Sales Department and assists with managing phone inquiries and leads.

Key Responsibilities:
  • Handle all group reservation inquiries, modifications, and cancellations received through various channels. Ensure accurate entry and modification of group blocks in the system, reflecting inventory, stay dates, cancellation policies, deposit requirements, and booking procedures.
  • Input all rooming lists and establish billing arrangements.
  • Perform daily inventory balancing.
  • Coordinate with the Front Desk Supervisor regarding VIP and suite reservations.
  • Generate daily transaction reports from the Front Desk Computer system.
  • Collaborate with the Director of Sales and Marketing on daily advertising requirements, approvals, design concepts, and deadlines, acting as a liaison with the advertising agency.
  • Work alongside the Director of Sales and Marketing and Field Marketing Manager to implement social media strategies on a daily, weekly, and monthly basis, ensuring promotional plans are executed as intended.
  • Monitor and update the hotel’s website and online promotions to keep information current.
  • Support the Director of Sales and Marketing in various tasks as needed.
  • Ensure proper marketing materials are displayed throughout the hotel.
  • Compile weekly pickup reports from the reservation system.
  • Participate in weekly pickup meetings and adjust blocks as necessary.
  • Manage requests from internal bloggers and media influencers, ensuring they are vetted and approved.
  • Meet bi-weekly with the Director of Sales and Marketing to discuss ongoing and upcoming marketing projects, including event planning.
  • Act as the hotel’s social media champion on platforms like Facebook and Instagram, adhering to corporate guidelines.
  • Promote events such as happy hour parties through email blasts and direct outreach.
  • Collaborate with the Field Marketing Manager and Director of Sales and Marketing to maintain and update various online platforms containing detailed hotel information.
  • Prepare monthly email blasts for the hotel as directed.
  • Assist the Sales Team with email marketing efforts.
  • Complete special projects as assigned by the Director of Sales and Marketing.
  • Send monthly commission reports to the Controller and copy the Director of Sales and Marketing.
  • Process monthly group commissions for approval and processing.
  • Maintain and update the email database as necessary.
  • Refresh the image library with the latest photographs as needed.
  • Update on-hold media quarterly or seasonally.
  • Serve as the Delphi system administrator.
  • Investigate daily activities during discrepancies and report findings promptly.
  • Stay informed about upgrades, new information, and procedures implemented by the Delphi and Property Management Systems.
  • Other responsibilities may be assigned as required.
Qualifications and Requirements:
  • Preferred 2+ years of experience in a hotel sales coordinator role.
  • High School Diploma or GED is required.
  • Proficiency in Delphi, OPERA Database software, and Microsoft Office Suite is essential.
  • Fluency in English is required.
  • Strong verbal and written communication skills are crucial for effective interaction with guests, employees, and third parties, reflecting positively on the hotel and the brand.
  • Ability to perform calculations related to discounts, commissions, and other financial figures is necessary.
  • Strong problem-solving, reasoning, and organizational skills are frequently utilized.
