Job Description

We are seeking a highly motivated and organized Sales and Marketing Coordinator to support the Director of Sales and Marketing in all hotel-related marketing efforts. The successful candidate will be responsible for managing on-site reservations, group and business transient, and other related reservation duties.

Key Responsibilities:
  • Process all group reservation requests, changes, and cancellations received through various channels.
  • Enter and modify group blocks in the system to ensure accurate inventory, stay dates, cancellation policies, and booking procedures.
  • Balance inventory daily and coordinate with the Front Desk Supervisor/Man on blocking VIPs or Suites.
  • Run daily transaction reports from FDC and work with the Director of Sales and Marketing on advertising needs, approvals, and design concepts.
  • Collaborate with the Director of Sales and Marketing and Field Marketing Manager on social media plans, daily promotions, and website updates.
  • Support the Director of Sales and Marketing in all areas as requested and ensure proper marketing materials are displayed throughout the hotel.
  • Run weekly pick-up reports from Opera and attend weekly pick-up meetings to adjust blocks accordingly.
  • Manage internal blogger and media influencer requests, vetted by the Field Marketing Manager and approved by the General Manager.
  • Meet with the Director of Sales and Marketing bi-weekly to discuss current and future marketing projects, including event planning.
  • Act as the hotel's social media champion, posting on Facebook and Instagram, following corporate guidelines.
  • Promote Art Bar Happy Hour parties through e-blasts and direct solicitation.
  • Work with the Field Marketing Manager and Director of Sales and Marketing to maintain and update C-vent, PCVB, GPTMC, and other websites.
  • Assist with e-blasts with the Sales Team and complete special projects as assigned by the Director of Sales and Marketing.
  • Send monthly commission reports from FDC to the Controller and cc the Director of Sales and Marketing.
  • Complete monthly group commissions and submit for approval and processing.
  • Maintain updates to the email database and Image Library, as needed.
  • Update on-hold media quarterly/seasonally.
  • Serve as the Delphi Administrator and research daily activity during times of discrepancies.
Requirements:
  • 2+ years of experience in a hotel sales coordinator position.
  • High School Diploma or GED required.
  • Proficiency in Delphi, OPERA Database software, and Microsoft Office programs.
  • Fluency in English.
  • Excellent communication skills, verbal and written.
  • Ability to calculate figures and amounts, apply basic algebra and geometry concepts, and problem-solve, reason, motivate, and organize.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
