GGUW President and CEO General Job Description:

The Community Outreach Coordinator is responsible for supporting the external events of Greater Gallatin United Way (GGUW) to generate awareness and support. This position develops high-quality relationships across the region to promote GGUW, our programs, volunteerism, and resources. This role includes general strategic event planning, event set up, breakdown and staffing. Duties may include event support for fundraising campaigns, volunteer matching and promotion, and kidsLINK Afterschool event management. This position requires an organized and competent professional with strong interpersonal, communication and time management skills, comfortable working with people (in person, virtually and on the phone) and able to assist on a variety of functions duties with accuracy and speed. The successful candidate has an ability to analyze and prepare reports from multiple sources of information and has a strong commitment to community impact and equity. Work hours:

Monday through Friday, 8:30am to 5:00pm with a 30-minute lunch Key Areas of Responsibility include, but are not limited to: Event Support

Assist with the planning of event logistics, including but not limited to communications, site visits, venue and vendor management, staffing, reservations/attendance, analysis and reporting, flawless execution day of event, and post-event follow-up to include debriefs and thank you notes. Support Day of Action event with outreach, event support, and team collaboration. Research and execute targeted number of outreach presentations within the Greater Gallatin community. Develop community event strategy with calendar, staff support, and supplies. Work with the GGUW team to identify events/sponsorships. Event logistics for GGUW’s United Night of Giving fundraising event with committee attendance. Assist with public relations/media/marketing Collaborate with GGUW staff on all volunteer event planning and execution. Development Support

Manage a portfolio of workplace campaigns annually to generate revenue. Identify, plan, and execute 3rd party fundraising opportunities. Meet and exceed revenue targets with workplace campaigns and 3rd party events. Work with workplaces to identify opportunities for giving and growth. Maintain donor database by updating and entering new records of pledges, payments, and in-kind gifts; ensure accuracy of 2,700+ individual/corporate profiles. Generate reports, specific data requests, and other materials for internal and external reporting purposes. Develop and prepare correspondence to donors and prospects including thank you letters, invitations, and other direct mail campaigns. Prepare and mail donor acknowledgments for donations, pledges, and in-kind gifts. Assist with grant and campaign research and activities. Identify potential corporate and grant funding opportunities on a local, state, and national level to accelerate community-level change. Support in gathering requested data and documents as required by funders. Maintain accurate records pertinent to the organization. This includes prospect lists, designation and gift data, event attendance, and volunteer committee rosters. Required Qualifications, Skills, and Characteristics Minimum Qualifications: 2 years minimum experience working in a professional office as in sales or marketing. Bachelor’s Degree preferred. Previous non-profit experience preferred. Desired Personal Skills and Characteristics: Excellent written and verbal communication skills; Friendly, team-oriented, and flexible; Professional demeanor, dependable, and punctual; Self-motivated and energetic; Strong project management skills; Organized and detail-oriented; Accuracy in documentation and filing; Ability to handle multiple complex tasks simultaneously; Able to work well in a fast-paced environment; Able to work independently; Experience in meeting facilitation; Capable of working with diverse populations and organizations; Able to lift and carry at least 15 pounds; Must have own transportation; Computer / Software Skills: Proficiency in typing and data entry; Proficiency in Microsoft Word, Excel, and Outlook; Experience with CRM / fundraising software and QuickBooks preferred. Business travel within Gallatin Valley is required; mileage reimbursement provided at IRS rate
