Basic Function: The HR & Administrative Specialist works in an office setting most days in which interactions with other team members, program youth and their families, and members of the community may occur. The HR & Administrative Specialist will assist in completing a variety of tasks that support the program and the general operations of the organization. The HR & Administrative Specialist will report directly to the Director of Operations. Core Job Accountabilities: Program Support: Provide support as needed with administrative aspects of child selection, enrollment, and onboarding. Assist with scoring of selection questionnaires. Perform dashboard data entry and tracking in organizational database. Assist in coordinating food deliveries, organizing receipt and re-distribution of event and holiday gift donations. Help track and do necessary follow up on team tasks. Support and provide back up to the Program Leadership Team. General Administrative Support: Assist in appropriate aspects of onboarding new employees. Manage office supplies and clubhouse related inventories. Order and set up meals at staff meetings, board meetings, and off-site meetings. Provide meeting support as needed for board and board committees, including documentation of minutes, assembly of meeting materials, and tracking attendance. Check and sort mail; on occasion, make bank deposits. Ensure common areas are kept clean and organized. Manage relationships with vendors. Help to create and maintain a professional, collegial workplace. Greet staff, children, office visitors, and community members with a positive and professional demeanor. Assist as needed with reconciliation of monthly financial statements and credit card statements. During fundraising events or campaigns, assist with receiving, organizing, tracking, and transporting items to and from events; assist with set up and take down related tasks. Provide additional support to Management and Staff as needed. Human Resource Support: Act as an effective back up for expense reimbursement and payroll processing. Experience in using payroll and expense management platforms required. Assist in completing background checks for new hires and re-checks for existing staff. Track employee car insurance coverage and obtain proof of insurance renewals as they expire. Track expiring First Aid and CPR certification of staff and coordinate recertification classes. Essential Skills and Abilities: The ideal candidate will thrive in a fun, collegial work atmosphere, will welcome the dynamic challenges of a growing organization, and will have: A high school diploma or equivalent. Associate’s or Bachelor’s degree preferred. Three or more years of relevant experience, preferably including office management and some human resource oversight. Ability to work positively with staff members, children, families, and outside parties from a variety of diverse backgrounds. Outstanding organizational and time management skills. Ability to plan and implement multiple projects concurrently, meet deadlines and follow up as required. Strong written and verbal communication skills. Experience in providing meeting support including minute documentation. Positive, team-oriented attitude, as well as a sense of humor. Ability to take initiative, anticipate and resolve issues. Ability to "manage up." Ability to proactively assist the team to ensure deadlines are met and details are followed through. Excellent MS Office 365 skills, especially in Word and Excel, including the ability to produce professional quality correspondence and reports. Additional Job Requirements: Maintain a current driver’s license, good driving record, and vehicle insurance. Maintain First Aid/CPR certification. Must be able to lift up to 30 pounds. Working Hours: This is a part-time (15-20 hours/week), hourly, non-exempt position. In general, the work schedule is flexible, with occasional modifications to the schedule to support meetings, fundraising events, and other activities. Salary Range: Part-time, non-exempt position at an hourly rate of $26.44-$28.36. Benefits: Due to the part-time nature of this position, benefits are not able to be offered.
