Job Description Overview of duties Exceeds personal sales goals on a monthly, quarterly and yearly basis. Handles accounts and key prospects jointly with senior sales personnel. Solicits group, transient and/or banquet business through action plan preparation and execution. Within market driven parameters, quotes and negotiates prices, confirming by written contracts. Maintains positive relationships with all guests, vendors, colleagues and global sales network. Sets up a proper filing system. Replies to emails of clients, queries, guest requests. Takes appointments when requested by sales team. Participates and follows up on the regional sales and marketing meetings. Interacts and coordinates activities with other departments related to sales and F&B. Responds to all reservation requests and incoming calls & e-mails in a courteous, efficient, professional and friendly manner in adherence to standards in absence account manager. Drafts corporate & leisure sales contracts. Keeps all the corporate profiles up to date and updates all the corporate & leisure rates in the PMS. Maintains hotel’s database and keeps it up to date. Updates other departments on the VIP arrivals and ensures all necessary preparation has been taken by all concerned departments. Collaborates with Sales, F&B, Revenue and room department. Updates M&E calendar and manages M&E reservations. Conducts site inspections for potential clients. Issues BEO coordinating with organizer and F&B in charge. Keeps records of sales plan and activities. Supports Reservation team as and when required. Prepares reports as required by the management. Manages stationary supplies of Sales & Revenue. Assists fellow employees to perform similar or related jobs as and when necessary. Maintains accurate customer records, timely sales reporting and upkeep of the sales database. Achieves sales in the best possible conditions for the hotel and the company. Promotes the hotel in particular and (or) more generally the hotels which belong to the chain in the same area. Secures both corporate and leisure business for the hotel maximizing yield and growing business from within these markets to meet budgeted revenue. Main responsibilities Customer relations Responsible for managing a selection of existing in-house long stay guests. Highlights Ibis & Adagio brand and educates the bookers about our products, benefits and services. Conveys the image of the hotel. Empowers associates to provide excellent customer service. Sets a positive example for guest relations. Coordinates and communicates event details both verbally and in writing to the customer and hotel operations. Makes presence known to customer at all times during this process. Oversees his/her customer experiences from file turnover through the post-event phase until turnover back to sales. Follows up with customer post-event. Responds to and handles guest problems and complaints. Professional techniques / Production Keeps relevant industry associations up to date on Ibis & Adagio etc., Mailings/newsletters and attending industry networking events. Ensures that all sales leads are followed up or passed to the relevant hotel sales staff to follow up in accordance with time frames outlined in SOP. Takes part in all Ines & Accor campus trainings. Maintains account, contact, activity and business details within Opera S&C according to Ibis & Adagio standards. Upon closing, coordinates and follows up with convention services, catering and/or other hotel departments to ensure delivery of hotel's promised services. Attends all sales meetings. Management and administration Keeps client files organized to team SOP standard. Completes daily and weekly reports. Hygiene / Personal safety / Environment Ensures that the workplace remains tidy. Complies with hotel's health, safety and hygiene policy. Attends Hotel training programs as directed. Is fully aware and conversant of ISO9001 (for Ibis & Adagio Hotels) policies and procedures and is responsible to integrate them in the day to day operation. Understands and strictly adheres to the rules & regulations established in the employees handbook and the hotel's policy on fire, hygiene, health and safety.
