Position Summary
The Sales Coordinator for Banquets is responsible for surpassing personal sales targets on a monthly, quarterly, and annual basis. This role involves collaborating with senior sales personnel to manage accounts and key prospects effectively.
Key Responsibilities
- Develops and executes action plans to solicit group, transient, and banquet business.
- Negotiates pricing within market-driven parameters and confirms agreements through written contracts.
- Cultivates positive relationships with guests, vendors, colleagues, and the global sales network.
- Organizes a comprehensive filing system for sales documentation.
- Responds promptly to client inquiries and requests via email and phone.
- Schedules appointments as needed by the sales team.
- Participates in regional sales and marketing meetings and follows up on action items.
- Coordinates with other departments regarding sales and food & beverage activities.
- Manages reservation requests and incoming communications with professionalism and courtesy, adhering to established standards in the absence of the account manager.
- Drafts contracts for corporate and leisure sales, ensuring all corporate profiles and rates are current in the Property Management System (PMS).
- Maintains the hotel's database and updates relevant departments on VIP arrivals, ensuring all preparations are in place.
- Collaborates with Sales, Food & Beverage, Revenue, and Rooms departments to optimize operations.
- Updates the Meetings & Events calendar and oversees reservations.
- Conducts site inspections for prospective clients and issues Banquet Event Orders (BEO) in coordination with the organizer and F&B team.
- Keeps detailed records of sales plans and activities, supporting the Reservation team as needed.
- Prepares reports as required by management and manages supplies for the Sales & Revenue department.
- Ensures accurate customer records and timely sales reporting, maintaining the integrity of the sales database.
- Achieves sales objectives under optimal conditions for both the hotel and the company.
Customer Relations
- Manages relationships with a selection of long-stay guests, promoting the Ibis & Adagio brands and educating bookers about our offerings.
- Embodies the hotel's image and empowers team members to deliver exceptional customer service.
- Coordinates and communicates event details clearly to clients and hotel operations, ensuring a seamless experience.
- Follows up with clients post-event to gather feedback and address any concerns.
- Stays updated on industry trends and maintains relationships with relevant associations through newsletters and networking events.
Administrative Duties
- Organizes client files according to team standards and completes daily and weekly reports.
- Ensures a tidy workplace and adheres to health, safety, and hygiene policies.
- Participates in training programs as directed and integrates ISO9001 policies into daily operations.
- Complies with all rules and regulations outlined in the employee handbook and the hotel's policies on health and safety.
