Position Summary: The Executive Assistant will provide comprehensive administrative support to the executive team, primarily the CEO and other senior executives. This role requires a proactive individual with strong organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment. The ideal candidate will have experience in real estate investment or a related field and possess excellent communication and interpersonal skills.

Key Responsibilities:

  1. Administrative Support:

    • Manage and maintain executives' schedules, including arranging meetings, appointments, and travel itineraries.
    • Prepare and edit correspondence, reports, presentations, and other documents.
    • Handle confidential information with discretion and professionalism.
    • Coordinate and organize executive meetings, including agenda preparation, minute-taking, and follow-up on action items.
  2. Real Estate Investment Support:

    • Assist in the preparation of investment proposals, reports, and presentations.
    • Conduct research on potential investment opportunities and market trends.
    • Maintain and update real estate investment databases and files.
    • Liaise with external partners, investors, and stakeholders on behalf of the executive team.
  3. Project Management:

    • Assist in the planning and execution of real estate projects, ensuring timelines and deliverables are met.
    • Track project progress and provide regular updates to the executive team.
    • Coordinate with internal and external teams to ensure project alignment and success.
  4. Communication and Coordination:

    • Serve as the primary point of contact for internal and external communications related to the executive team.
    • Facilitate effective communication between executives and other departments.
    • Manage incoming and outgoing communications, including emails, calls, and correspondence.
  5. Marketing Support:

    • Collaborate with the marketing team to develop and execute marketing strategies and campaigns.
    • Assist in the creation and dissemination of marketing materials, such as brochures, newsletters, and online content.
    • Monitor and analyze marketing campaign performance and provide insights to the executive team.
    • Help manage the company’s social media presence and online reputation.
  6. Office Management:

    • Oversee the smooth operation of the executive office, including supplies, equipment, and facilities.
    • Implement and maintain office procedures and systems to enhance efficiency and productivity.

Qualifications:

  • Bachelor’s degree in Business Administration, Real Estate, or a related field preferred.
  • Minimum of 3 years of experience as an Executive Assistant, preferably in the real estate investment industry.
  • Strong understanding of real estate investment principles and market dynamics.
  • Excellent organizational and multitasking skills with a keen attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and real estate software/tools.
  • Outstanding communication and interpersonal skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • High level of integrity and discretion in handling confidential information.
  • Strong problem-solving skills and a proactive approach to tasks and challenges.
  • Must have a reliable vehicle and a valid driver's license
