Job Title: Office Administrative Assistant

Department: Maryland Office Department

Location: Annapolis Junction, Maryland

Reports To: Vice President, Industrial Sales

Job Overview:

As a key member of the Operations team, the Office Administrative Assistant will report to the VP of Industrial Sales and is responsible for providing company-wide marketing support to the sales and service organization. The Office Administrative Assistant serves as a resource to company managers in the development of marketing materials. Additionally, the Office Administrative Assistant provides administrative support to the Vice President of Industrial Sales. This individual also provides high-level, confidential administrative support to various Office initiatives and coordinates special projects as needed.

  • High school diploma or Associates degree preferred
  • Must be able to pass background and reference checks, as well as a drug test

Scope of Responsibility:

  • The day-to-day, responsibilities include the production of corporate branding and marketing materials such as logos, line cards, and flyers
  • Check the messages from the night before and maintain the public calendar as well as the meeting room calendar
  • Answer switchboard from 8-9 A.M. and 3-5 P.M. and all other times as required.
  • Deliver outgoing mail to the post office at the end of the day
  • Assist the receptionist with breaks and phone coverage
  • Maintain and order Office supplies, order and stock supply cabinets for warehouse and other personnel
  • Order business cards, forms, envelopes, and letterhead (for company-wide use)
  • Ensure lobby presentation is welcoming for employees, clients, and visitors—ensure material is well-presented and plants are tended.
  • Book travel requests, training, and customer trips for employees
  • Assist with the scheduling of customer location training
  • Coordinate with the ordering and delivery/set up of meals for employees and customers for events or seminars
  • Schedule and coordinate offsite company events (Holiday and Retirement parties, etc.)
  • Monthly petition managers for articles for the Pump House Post, as well as update birthdays and anniversaries
  • Perform all other duties as assigned
  • Manage the administration of the Company’s vehicle fleet including title updates, registration renewals, citation payments, and providing notices for emissions inspections and recalls
  • Maintain Employee Auto Insurance Database to ensure proper coverage for both employees and the company
