POSITION SUMMARY
Under the direction of the Property Manager, the Assistant will be responsible for supporting the management team with the property's day-to-day operations, policies, procedures, and programs that will ensure satisfied tenants and a well-maintained building. Accomplish this by emphasizing positive responses to the concerns and needs of the tenants, environmental health and safety, and quality programs in coordination and conjunction with the Owner's goals and objectives. Responsibilities include, however, not limited to general office support, daily interaction with the public, tenants, vendors, and the State, phone contact, file maintenance, electronic record keeping, and administrative support to team members.
ESSENTIAL JOB FUNCTIONS
- Customer service responsibilities will include daily interaction with the public, tenants, vendors, and the State; phone contact for work order requests; creating purchase orders; complaint resolution; appointment making; distributing notices and managing vendors.
- Assigned data entry utilizing property management software (including Excel and Word). Maintaining an electronic filing system and confidential paper files.
- Provide administrative support to the Property Manager.
- Coordinates and maintains files, following Appleton and State guidelines.
- Receive work order requests and maintain the organization of the closed work orders.
- Sorting and distributing office mail, secure payments and files, and miscellaneous other office functions as required.
- Work with the building management team to plan and implement building functions.
- Assist in preparing project reports for management, reviewing status reports, including actual-to-budget project reports prepared by project personnel, and modifying schedules and plans as
- Monitor overall cleanliness of public spaces, including property landscaping, lobby, elevators, and common areas.
- Adhere to and always operate within all guidelines.
- Consistent and reliable attendance.
- Always display a professional appearance and maintain a positive attitude.
QUALIFICATIONS:
- One year of prior relevant experience
- High School Diploma or equivalent
- Proficient in Microsoft Office (Excel/Word)
- Excellent customer service skills
- Able to lift up to 10 lbs.
