Position Overview:
The Branch Operations Coordinator plays a vital role in delivering administrative assistance and managing various operational tasks to guarantee the branch functions smoothly. This position involves providing high-level support to the Branch Manager, including managing calendars, coordinating business meetings, overseeing email correspondence, and tracking business activities. The ability to exercise independent judgment in addressing administrative needs while managing multiple projects is essential. This role requires on-site presence.
Key Responsibilities:
- Oversee the calendars of the team and Branch Manager; schedule diverse business meetings using platforms such as Teams, Zoom, and Outlook.
- Handle emails, letters, packages, phone calls, and other correspondence.
- Arrange travel and accommodations as necessary.
- Independently draft well-organized and grammatically correct emails.
- Utilize various software applications, including spreadsheets and databases, to keep management and teams informed about clients and transactions.
- Perform administrative tasks such as conducting research, updating databases/CRM, and tracking follow-up tasks.
- Support all East Coast branches in daily operations, including managing support tickets, resolving billing issues, and following up on outstanding documents.
- Assist branches with onboarding and offboarding processes.
- Handle various personal administrative tasks as required.
- Complete expense reports and reconcile receipts.
- Provide assistance to colleagues whenever possible.
- Maintain a high level of organization and confidentiality.
- High School Diploma or equivalent.
- Proficient in Microsoft Office Suite.
- Previous experience in banking, financial services, or mortgage industries is preferred but not mandatory.
- Excellent communication abilities.
- Willingness to learn and cross-train in various departments.
