In the Springfield location, you'll be the go-to person for all things office-related. From scheduling meeting rooms, to keeping supplies stocked, you'll be the wizard who anticipates and resolves issues before they even surface. Managing vendor contracts, overseeing equipment maintenance, and handling seating arrangements will be second nature to you. You'll be the friendly face at the front desk, greeting employees, guests, and delivery personnel with a smile.
Technical prowess is your forte, with a command of the Microsoft Office Suite and expertise in expense tracking. Your interpersonal skills are just as impressive, with a positive and approachable demeanor that radiates throughout the organization. You'll be entrusted with confidential information, and will showcase your strong written and verbal communication skills at all levels.
Your role isn't just about managing office spaces; it's about creating an environment where every detail matters. With over two years of experience managing office staff, and either an associate's degree or relevant work experience under your belt, you're poised to take on this role with finesse. What You'll Do:
- Assist with scheduling and/or swapping of meeting/conference rooms, as needed
- Ensure necessary supplies are organized and stocked at the appropriate amounts
- Make sure cleaning crew maintains proper cleaning schedule and office is cleaned on a regular basis, with spot cleaning as necessary in between scheduled cleanings
- Manage vendor contracts, specific to repairs and maintenance
- Anticipate and resolve problems before they escalate
- Arrange for regular maintenance of equipment and internal systems (ex: heating system, alarms, security cameras, plumbing)
- Offer front desk greetings to NLS employees, guests, delivery personnel, and candidates
- Manage guest check-in and adhere to NLS policies regarding guests in the building
- Coordinate desk arrangements and maintain seating chart, working with local leadership when office movement is needed
- Facilitate moves and space utilization
- Maintain emergency plan in conjunction with HR and ERA
- Supervise office administrators/representatives in all NLS locations
- Adhere to Office Operations expense budget for all NLS office related charges
What You'll Bring:
- 2+ years managing an office with staff
- OSHA certification (or willing to obtain)
- CPR & AED certification (or willing to obtain)
- Current driver's license is required
- Ability to lift up to 30lbs
- Experience with Office 365
- Previous experience with expense tracking
- Positive and approachable demeanor
- Proven attention to detail
- Creative problem solver
- Ability to multi-task
