The Executive Assistant/Office Manager plays a key role in the success of the administrative

operations for Zerorez, Inc. This role provides administrative support in a one-on-one working

relationship with the CEO and other members of the Executive Team. In addition, the Executive

Assistant/Office Manager serves as a liaison to the Board of Directors and Senior Management

teams: organizes and provides reports on executive meetings/ and oversees special projects

assigned by the CEO and other corporate executives. The following list is to provide a general

understanding of the duties and responsibilities of this role and is not to be considered an

exhaustive list.


CEO Support (20% of Time)

  • Calendar management
  • Filing System creation and management
  • Meeting scheduling and preparation
  • Technology coordination (i.e. Zoom and other tech platforms)
  • Travel coordination
  • Expense reports
  • Recognition gift cards

Executive Support (15% of Time)

  • Administrative support for Executive Team as needed
  • Zerorez Marketing Advisory Committee (ZMAC) meeting scheduling
  • ZMAC meeting minutes

Office Management (30% of Time)

  • Front desk/phone reception
  • Office supply management
  • Maintain supply list for office/breakroom/boardroom
  • Be proactive in obtaining/maintaining needed supplies
  • Oversee the general tidiness of the office
  • Mail correspondence, parcel reception
  • Oversee facilities maintenance
  • Be the point of contact for janitorial and maintenance services
  • Maintain a list of all current projects and cleaning schedules
  • Manage Franklin Covey All Access Pass for corporate and franchise seats

Corporate Events Support (10% of Time as needed)

  • Support VP of IT with Leadership Development Conference/Owners Conference/Presidents Club as needed

National Accounts (25% of Time)

  • Day-to-day communications with our national account partners
  • Update changes to partner policies and communicate to corporate owned and franchise bases
  • Submit work order status reports to applicable accounts
  • Communicate work orders to corporate owned and franchise bases
  • Relay scope of work, pricing, customer info, etc. to corporate owned and franchise bases.
  • Submit invoices to account partners and assist with accounts receivable balance
Requirements:
  • 2+ years of Executive Assistant Experience
  • 1+ years of Office Management Experience
  • Associate Degree (Bachelor's Degree preferred)
  • Proficient with Microsoft Suite and Google Suite
