Job Description: Client Relations Specialist

Location: In Office, Kalispell, MT

Job Type: Full-Time (40 hours/week)

Pay: $22-$25/Hour DOE

This pivotal role is essential not only in delivering exceptional client service but also as the cornerstone of our operations. You will seamlessly integrate our internal processes with the client experience from start to finish, ensuring processes flow with clarity and ease. Responsibilities:

Client Services & Administration (80%):

  • Coordinate seamless client onboarding and offboarding by following designated workflows & processes while always striving to improve
  • Manage CRM system (Karbon) for accurate client data management.
  • Serve as primary contact for client communications and oboarding/offboarding project management.
  • Proactively engage with clients to understand their needs and concerns.
  • Maintain regular communication channels to update clients on service offerings and pricing changes.
  • Address client inquiries and resolve issues promptly to minimize frustrations.
  • Monitor client satisfaction metrics and develop strategies to improve retention rates.
  • Support internal process improvements and cross-departmental coordination.
  • Handle administrative tasks including mail management, office supplies, bank deposits and communications via phone & email.

Creative Aspect (20%):

  • Assist in developing creative proposals and marketing initiatives.
  • Contribute to outbound marketing efforts using tools like Canva and Mailchimp.
  • Participate in occasional website redesign projects to enhance user experience.

Qualifications:

  • Experience in client services, account management, or administrative roles is required.
  • Proficiency in MS Office, G Suite, and CRM systems (e.g., Karbon).
  • Strong organizational skills and meticulous attention to detail.
  • Excellent communication skills, both verbal and written.
  • Proactive problem-solving abilities and ability to prioritize tasks effectively.
  • Examples of creative work/projects that have been implemented or managed in a professional services environment
