Role: Executive Assistant & Business Support Admin

Location: Wilmington, DE

We are seeking an experienced Executive Assistant & Business Support Admin who will support our CEO and provide general administrative services for our Corporate Headquarters located in Wilmington, Delaware. This is a critical role that requires exceptional organizational abilities, excellent communication skills, and a proactive approach to anticipating and addressing the needs of their customers.

Job Summary:

  • Provides multi faceted administrative support to the business and CEO
  • Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people.
  • Manages the CEO’s schedule, meeting preparation, follow-up tasks, email management and complex travel arrangements.
  • Develops positive and strategic relationships at all level of the organization.
  • Handles sensitive and confidential information with the utmost discretion and professionalism, maintaining confidentiality protocols at all times.
  • Serve as a liaison between the CEO and staff members, fostering open communication and collaboration across departments.
  • Assist CEO with special projects as assigned.
  • Arrange for any special needs relating to events/meetings (food, audio/visual equipment, printed materials, etc.).
  • Manage inquiries and requests directed to the CEO.
  • Act as back-up for office manager with tasks such as invoicing, creating PO’s and other administrative tasks.
  • General administrative support tasks that support the corporate office and members of the global leadership team.
  • Other duties as assigned by CEO

Required Qualifications:

  • Minimum of 7 years experience providing administrative support to C-Level executives
  • Proficiency in Microsoft Office including Outlook, Word, Excel, PowerPoint, and Adobe Acrobat.
  • Possess excellent attention to detail and follow-through.
  • Strong interpersonal skills and the ability to build seamless relationships with shareholders, Board members, business contacts, and internal and external Customers.
  • Expert level written and verbal communication skills.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly.
  • Experience managing complex travel arrangements
  • Proven ability to handle confidential information with discretion.
