Fourth Street Clinic works to improve overall health outcomes for persons experiencing homelessness through access to high-quality, evidence-based healthcare in a trauma-informed setting. For many Utahns experiencing homelessness, Fourth Street Clinic is their first and only chance at a diagnosis and ongoing treatment. By increasing access to primary medical care, behavioral health, dental, pharmacy, specialty care, health education, and supportive services we are a major partner in ending homelessness, promoting community health, and achieving across-the-board healthcare savings.

Core Responsibilities:
  • Provide administrative portal and all Board of Directors activities, including coordinating board and committee meetings and communications; preparing and distributing agendas and meeting materials; recording and distributing minutes for assigned meetings; maintaining appropriate documentation and files; managing and updating the Board portal, and ordering refreshments/meals for Board meetings.
  • Schedules and coordinates meetings and events, including conference registration, travel and lodging, and other activities for the Executive Leadership team.
  • Schedules and coordinates All Staff and other departmental/employee meetings and ordering refreshments/meals for Staff meetings.
  • Creates and maintains accurate administrative files, documents, and electronic systems as necessary.
  • Assists with the development and implementation of department policies and procedures, and monitors for revisions and updates.
  • Assist with accounts payable by scanning invoices into the system and sending them to managers for approvals, order checks and envelopes as needed, and maintaining and managing POs for CEO review and approval.
  • Provides consistent communication to the CEO, COO, and CDO to ensure that information and materials are provided to complete tasks and give clear updates on assignments (both pending and completed).
  • Performs support duties for the administrative office including screening and distributing incoming and outgoing mail and faxes, making copies, maintaining an inventory of supplies and forms, and ordering supplies, as necessary.
  • Serve as the main point of contact for Wasatch IT, as well as any IT orders, escalation of tickets, and maintaining stock of IT equipment. The Executive Assistant will also track all equipment through asset management.
  • Maintain confidentiality of highly sensitive information in all aspects of the
  • Manage complex office administrative work requiring the use of independent judgment and initiative.
  • Other duties as assigned.

Qualifications:

  • 5 years experience working as an assistant supporting a C-Suite.
  • Experience working for a busy Executive and someone who is used to scheduling a high volume of meetings.
  • Well-organized, detail-oriented, with good follow-through and judgment on how to prioritize the CEO's time.
  • Passionate about Fourth Street Clinic's mission to provide healthcare for the homeless community in Salt Lake City.
