Schedule: 8am-4:30pm Monday-Friday

Violations:

  • Responsible for all documentation of Association violations –inspections as necessary – understands regulations and rules as provided by Board and PM
  • Track violations for completion and documents compliance.
  • Repeat inspections as necessary within time frame determined for violations compliance
  • Primary contact for all non-compliance letters and follow-up to compliance or fine.
  • Provide PM with all documentation requesting compliance and resolution - For Board to make determination of fine if necessary
  • Update any KWPM systems with violations documentation as directed
  • This position interacts as well attends the Violation Control Committee Meetings on the monthly basis.

Speed Enforcement

  • Radar sign data analysis (completed first week each month)
  • Speed enforcement process (i.e., analysis of data, issuing warnings and citations, potentially working with Fines Committee and adding fines to owners’ ledgers, etc.)

Access Control

  • Vendor additions, vendor file review, guest file review
  • Realtor open house setups, and setting realtors up as users
  • Contractor set up as users
  • Generating generic event passes each month
  • RFID sticker programming (as needed to supplement Administrative Assistant)
  • Tracking tech assistance tickets and follow-up with vendor
  • Quality Control of move in/move out activity each month to ensure properties are correct and that any members moving out are set up as Neapolitan Members in the system

Preventative Maintenance

  • Generating preventative maintenance reports for owned assets to provide to Facilities Management Committee Chair

Work Orders

  • Overseeing work order requests

Water Company

  • Resolving billing disputes if the resident calls the office
  • Answering all water company phone calls
  • Updating owner data
  • Confirm resident closing dates so final statements can be issued to seller and buyer is set up in accounting platform
  • Direct residents on methods they can use to pay their irrigation bills
  • Tracking water usage data received from irrigation vendor
  • Interfacing with irrigation vendor on owners’ irrigation-related issues when needed

Job skill requirements

  • Medium proficiency level of Microsoft Office suite (i.e., Excel, Word, PowerPoint, etc.)
  • High level of customer service experience
  • High communication skills
  • Excellent phone etiquette
  • Conflict resolution skills
  • Ability to multitask

Work Environment

The working environment will be mostly indoors, with moderate noise level. The position may require long periods of walking and/or sitting.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

The employee is occasionally required to sit, stand, reach, lift, bend, kneel, stoop, climb, push and pull items weighing 25 pounds or less. The position requires minimal manual dexterity; auditory and visual skills; and the ability to follow written and oral instructions and procedures.

Position Type/Expected Hours of Work

This is a non-exempt position. Days and hours of work will be determine at property/location. This schedule may change to accommodate the business needs of the property.
