Perform specialized clerical, customer service, fiscal and record-keeping work related to operations of a courts division. Employees perform a wide range of duties and are required to be cross-trained to learn and fulfill the requirements of the job. All employees must be able to attend court and satisfactorily perform the tasks associated with the assigned proceeding. Applies knowledge of basic and commonly used work methods and techniques to perform routine work while learning to perform the full range of related tasks in the work unit. Essential Job Functions: The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned. Provide optimal customer service to internal and external customers. Provide information to the public about the Clerk's programs and services, answer customer questions at the counter and over the telephone related to court status, driver license status, court dates and options. Attend court to coordinate and assist in courtroom proceedings; accurately record case dispositions, court orders, continuances, and costs assessed in court proceedings. Ability to tolerate exposure to evidence and testimony, such as photographs of crime scenes and victims; evidence may include syringes, drugs, weapons, blood and unpleasant odors, sexually explicit materials, defendants, and witnesses who may potentially be verbally offensive. Enter new cases into the case maintenance system. Receive, review and process court documents in the case maintenance system through e-filing and the mail. Prepare documents as required by law. Process incoming and outgoing mail and make deliveries and pick-ups to other agencies. Process various payments for fees, fines, and charges assessed. Balance daily receipts to monies received and perform bank deposit activities as assigned. Back-scan case files into the case maintenance system. Prepare for and hold auctions for foreclosure cases. Work under pressure with specific timelines and mandated state and/or agency standard. Work independently in the absence of supervision. Organize, plan, and prioritize work. Swear in witnesses in the courtroom and customers at the counter. Other duties as assigned. The Collier Clerk values the team building benefits of regular in-person onsite collaboration. Job Requirements: Education and Experience: High School Diploma or a GED equivalent, and six months of clerical, customer service, banking, paralegal, criminal justice, or other related work experience. Knowledge, Abilities and Skills: Follow Clerk of Courts Rules, Regulations, Policies and Procedures: Gain and apply knowledge, conform with, and abide by all department rules, regulations, policies, work procedures, and instructions. Develop and maintain effective working relationships with internal and external customers. Relate appropriately to persons of diverse ages and backgrounds. Demonstrate tact, sensitivity, and diplomacy even in stressful situations. Follow confidentiality and code of ethics policies. Act, dress, and behave in a professional manner to reflect a positive image of the Clerk’s Office. Communication Skills (Oral, Writing, Listening, Understanding and Processing): Use complete English sentences, proper grammar, and paragraphs to correctly organize and convey information both orally and in writing by telephone and in person. Respond promptly when returning telephone calls and replying to correspondence. Understand and follow oral and written instructions, written sentences, and paragraphs in work-related documents. Maintain close attention to details. Prepare accurate messages. Computer and Office Equipment Skills: Proficiency in Microsoft Word, Excel, and other court-related software programs as necessary. Operate a variety of office equipment including computers with a keyboard, printer, scanner, fax machine, copying machine, telephones, and calculator. Access, input and retrieve information from a computer at an acceptable rate of speed and accuracy. Accurately utilize and quickly adapt to department/agency software programs. Use calculator/numeric keyboard to add, subtract, multiply and divide whole numbers, decimals, and percentages, enter data and make calculations. Cash Transaction Skills: Receive payments and make change with accuracy and speed. Reconcile differences in cash and receipts. Properly handle and balance cash and financial transactions. Other tangible abilities: Office procedures, methods, and equipment. Cashiering operations, collection documentation and procedures. Performance Aptitudes: Data Utilization: Requires the ability to evaluate, audit, deduce, and/or assess data using established criteria. Includes exercising discretion in determining actual or probable consequences and in referencing such evaluation to identify and select alternatives. Human Interaction: Requires the ability to apply principles of persuasion and/or influence over others in coordinating activities of a project, program, or designated area of responsibility. Equipment, Machinery, Tools, and Materials Utilization: Requires the ability to operate, maneuver, and/or control the actions of equipment, machinery, tools, and/or materials used in performing essential functions. Verbal Aptitude: Requires the ability to utilize a wide variety of reference, descriptive, advisory, and/or design data and information. Mathematical Aptitude: Requires the ability to perform addition, subtraction, multiplication, and division; ability to calculate decimals and percentages; may include ability to perform mathematical operations with fractions; May include ability to compute discount, interest, and ratios; may include ability to calculate surface areas, volumes, weights, and measures. Functional Reasoning: Requires the ability to apply principles of influence systems, such as motivation, incentive, and leadership, and to exercise independent judgement to apply facts and principles for developing approaches and techniques to resolve problems. Situational Reasoning: Requires the ability to exercise judgement, decisiveness, and creativity in situations involving the evaluation of information against sensory, judgmental, or subjective criteria, as opposed to that which is clearly measurable or verifiable. Additional Information: A Public record includes information that is recorded and stored by a government agency, which a member of the public has a right to access and review. Records can be in tangible forms, such as paper, photographs, and maps, or stored on electronic media, such as CDs, DVDs, and computer databases. On occasion, your picture may be taken and used in agency publications, or your records may be requested for review. All government records are public unless you are, or the record is exempt by Florida Statute Chapter 119.0713. ADA Compliance: Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but may involve some lifting, carrying, pushing and/or pulling of objects and materials of lightweight (5-10 pounds). Tasks may involve extended periods at a keyboard or workstation. Sensory Requirements: Some tasks require the ability to perceive and discriminate sounds and visual cues or signals.
