Purpose

The Office Manager organizes and coordinates administration duties and office procedures including creating and maintaining a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Must Be Tech Saavy.

Duties & Responsibilities

  • Provide executive administrative support to the CEO
  • Schedule meetings and appointments
  • Event Coordination and Support
  • Provides accounting support, including:
  • Account Reporting
  • Accounts Payable Processing
  • Accounts Receivable Processing
  • Invoicing
  • Collections
  • Manage Staffing Team activities, including:
  • Updates and maintenance corporate policies
  • Day-to-day administration of new hire and onboarding processes
  • Supervise staffing team
  • Organize office operations and procedures
  • Coordinate with Operations for all internal staffing needs
  • Ensure that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Manage office G&A budget, ensure accurate and timely reporting
  • Provide general support to staff as requested
  • Liaise with vendors
  • Plan in-house or off-site activities, like parties, celebrations and conferences

Qualifications

  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Experience with basic accounting and bookkeeping activities
  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Proficiency with Microsoft Teams.
  • Some Microsoft SharePoint experience.
  • Administrative scheduling and coordination.
  • Reporting and documentation.
  • Ability to work remotely and pro-actively.
  • Ability to self-prioritize and manage multiple administrative tasks.
  • Must be an effective communicator (written and verbal)
  • Prior administrative support/assistant experience desired.
  • Must be physically located in or willing to commute regularly to Loudoun County, VA.
  • Must be willing to take and pass a criminal background check
