Job DescriptionJob DescriptionExecutive Assistant Our client, a large manufacturing company in Montgomery County, PA, is seeking an Executive Assistant to support two C-level Executives. This position will work closely with assigned Executive(s) to proactively manage all day-to-day tasks required to achieve company goals, ensuring activities are completed accurately and on time, across all areas of accountability. Responsibilities
  • Drafts correspondence, meeting minutes, recommendations, presentations, reports and memos on behalf of assigned Executives with minimal guidance.
  • Manages calendar(s): scheduling and prioritizing appointments to maximize efficiency in support of organizational goals; Advises of daily schedule and works closely to ensure effective and timely follow up.
  • Screens and manages telephone calls and visitors, ensuring appropriate follow-through.
  • Generate and distribute reports in accordance with operating procedures.
  • Coordinates external meetings, conferences and events as requested. Arranges travel, accommodation, itineraries and all correspondence related to arrangements as needed
  • Processes expense reports in accordance with Company policy, obtaining and preparing required documentation
  • Builds relationships and liaises with all staff as needed to ensure a smooth working relationship with the Executive Office
Qualifications
  • High school diploma required. Associate’s degree in Business or related discipline preferred.
  • A minimum of 4 years’ experience in Executive office support with demonstrated success optimizing coordination and communication for Senior Executive(s).
  • Ability to prioritize across diverse requests, self-managing time and prioritizing, while maintaining confidentiality, accuracy and efficiency across all tasks required.
  • Ability to solve complex problems, think innovatively, creatively and strategically as necessary.
  • Must be flexible, extremely well organized and detail minded.
  • Excellent communication and interpersonal skills, both written & verbal, required.
  • Solid knowledge of proper meeting management techniques required.
  • Proficient user of Microsoft applications (Excel, Word, PowerPoint and Outlook) and communication applications (Skype, Zoom, etc.), including the ability to quickly learn other software applications.
  • Preference given to candidates who have worked within SAP and/or similar ERP environments.
