JOB TITLE: Office Admin/Receptionist

Non Exempt/Hourly

Reports to: Assigned Manager

Purpose: to provide clerical and administrative support for main office

Work Schedule: Daily M-F 8:30 a.m. to 5:00 p.m. This is a full-time position.

Essential Skills

· Attention to detail, able to meet deadlines and work to meet priorities

· Ability to produce accurate and timely work product

· Ability to multi-task, prioritize and determine means to complete tasks for optimum production

· Ability to use logic for decision making and organizational tasks

· Ability to follow and comprehend instructions and work within Company policy

· Ability to work independently or within a team environment as needed

· Maintain physical and electronic files or other organization system

· Keyboard and data entry

· Operate office equipment such as computers, scanners, cameras, telephones, televisions, and conference equipment

· Answer telephones and take /deliver messages

· Receives and orders supplies as necessary. Maintains inventory of supplies

· Receives and distributes mail and other information delivered to work site

· Coordinates and calendars meetings

· Orders lunch, presentation materials or other items needed to facilitate meetings

· Works with vendors and suppliers as directed

· Greets guests, vendors, suppliers

· Assists with presentations or Zoom meeting setup as necessary

· Maintains cleanliness and organization of office

· Supports team through completion of requests, scheduled duties and tasks, awareness of company goals and project needs, forecasting and planning for needs of the office

· Provides administrative and clerical assistance as need for Executives, such as calendar management and brief errands

· Other duties as assigned

Essential Qualifications

· High school diploma or administrative assistant certificate or degree in business management

· Knowledge of software applications such as spreadsheets, database management, MS Office, Excel, etc.

· Self-starter, takes initiative and finds ways to be productive during slower periods

· Excellent written and verbal communication skills

· Three (3) years clerical/administrative experience in a professional environment

· Organizational ability, discretion, good judgement, initiative, ability to work independently

· Ability to work under pressure to meet deadlines

· Team player, positive attitude willingness to help on project needs that arise unexpectedly

· Prior experience in a professional office

· Pleasant, courteous, polite with internal and external staff and guests

 

Physical Requirements

· Frequently lifts objects up to 25 pounds

· Climb stairs

· Sits for long periods of time

· Occasionally stoop, crouch, kneel or bend

· Use hands and arms to reach, grasp and manipulate objects

· May walk on uneven ground and stand for periods of time
