As an IT Asset Coordinator, you will play a pivotal role in managing the company's assets throughout their lifecycle. Your responsibilities encompass a diverse range of tasks, ensuring efficient asset utilization, compliance, and support for business operations. What you’ll do:

  • Comprehensive Asset Management: Oversee the lifecycle management of all company assets, including hardware, software, licenses, and other resources. This involves procurement, deployment, tracking, maintenance, and disposal, with a focus on accuracy and compliance.
  • Procurement and Deployment: Coordinate the procurement process for new assets, ensuring timely delivery and proper configuration. Deploy assets to end-users according to organizational requirements.
  • Asset Tracking and Audits: Implement and maintain an effective asset tracking system to monitor asset locations, usage, and condition. Conduct periodic audits, including physical audits if required, to verify asset data accuracy and identify discrepancies.
  • Maintenance and Support: Collaborate with IT support teams to facilitate asset maintenance, repairs, and upgrades as needed. Ensure that assets are functioning optimally to support business operations.
  • Disposal and Decommissioning: Manage the decommissioning process for retired assets, including data sanitization and environmentally responsible disposal methods. Coordinate asset recycling or resale where applicable.
  • Documentation and Reporting: Maintain comprehensive documentation related to asset management processes, procedures, and policies. Generate regular reports on asset utilization, lifecycle status, and compliance metrics.
  • Helpdesk Support: Assist the helpdesk team during periods of low asset management activity by addressing incident or request tickets in the queue. Provide timely resolution or escalation of issues to ensure minimal disruption to end-users.
  • Exit Clearance Preparation: Prepare data for IT managers before clearing an exiting employee's clearance form, ensuring all assigned assets are properly accounted for and managed according to company policies.
  • Vendor Warehouse Audits: Conduct physical audits in vendor warehouses as required to verify inventory accuracy and compliance with contractual agreements.
  • Asset Forecasting: Collaborate with relevant stakeholders to forecast future asset needs based on business requirements and growth projections. Ensure proactive planning and budgeting for asset acquisitions and replacements.

  • Relevant certifications such as ITIL Foundation or CompTIA IT Asset Management (ITAM) are a plus.


Requirements:

Required Qualifications:

  • Experience with ITSM Tools: Prior experience with Freshservice or similar IT Service Management (ITSM) platforms, with a focus on the asset management module, is highly desirable.

Preferred Qualifications:

  • M365 Administration: Familiarity with Microsoft 365 administration, including user management, license provisioning, and application deployment.
  • Azure Active Directory: Basic understanding of Azure Active Directory (AAD) concepts and administration tasks, such as user provisioning, group management, and security policies.
