Join Our Team as an Executive Assistant for Three Attorneys

Are you a proactive, organized individual with a passion for providing exceptional administrative support?

Savage Search Associates is seeking a highly skilled Executive Assistant to work directly with three Attorneys at a leading real estate company based in Orange County.

Role Overview:

As the Executive Assistant, you will play a crucial role in supporting the daily operations and success of three Attorneys within our esteemed real estate firm. Your responsibilities will include managing calendars, coordinating meetings and travel arrangements, preparing legal documents, and providing general administrative assistance to ensure the efficient functioning of the legal team.

Key Responsibilities:

  • Efficiently manage complex calendars, scheduling appointments, and coordinating meetings with internal and external stakeholders.
  • Assist with confidential document preparation, lease agreements, proofreading, editing, and formatting legal correspondence, contracts, and reports.
  • Manage multiple calendars to organzie schedules.
  • Facilitate communication between attorneys, and other internal team members, ensuring timely and accurate information flow.
  • Coordinate onsite meetings including ordering food & beverages.
  • Process expense reports utilizing Excel.
  • Prepare basic PowerPoint presentations
  • Handle general administrative tasks such as answering phones, responding to emails, filing documents, and maintaining office supplies.

Qualifications:

  • Previous experience (3+ years) as an Executive Assistant or Legal Assistant, preferably in a law firm or real estate environment.
  • High energy critical thinker, with a passion to excel, and the ability to take initiative.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and Adobe.
  • Strong organizational skills with the ability to multitask, prioritize workload, and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills, with keen attention to detail and accuracy.
  • Discretion and professionalism when handling confidential information and sensitive matters.
