SALARY: $67,725 - $73K, Full-Time, Exempt

BONUS: Uncapped potential, Quarterly

ABOUT OUR HOTEL

  • 4th largest hotel in Seattle. 557 rooms, 28,000 sq. ft of meeting space
  • Stable operation – hotel has never been sold
  • Never closed during the pandemic even though about 30 other hotels in Seattle were closed for more than 1 year
  • Although we had to lay-off 90% of our staff at the beginning of the pandemic, we brought the majority of them back. Our people are very loyal to the hotel & were waiting for our call to return.

JOB SUMMARY

We are seeking an enthusiastic, highly organized, tech savvy event manager to support the managing, coordinating and executing of group assignments as assigned by the Sales Department. This position reports to the Director of Catering and The Director Sales and Marketing and the primary responsibilities are listed below:

  • Maintain strong client relations and upsell opportunities and ensure that meeting specifications are communicated and executed for a successful meeting experience for the meeting planner and attendees.
  • Monitor and manage room blocks and meeting space according to contract utilizing group history reports and information given by clients to maximize hotel revenue, making adjustments as necessary.
  • Review sales contracts as well as other important information, i.e., room block, cut-off date, special concessions and attrition clauses and validate with client via turnover letter. Monitor and enforce program deadline dates and work with clients to release meeting space not needed to maximize hotel revenues.
  • Produce and distribute event orders, group resumes, planning site alerts and communicate any changes and updated information to hotel departments.
  • Work extensively with the Food and Beverage and Culinary team on executing catering events and banquets with upsell opportunities.
  • Accurately forecast group rooms and group food and beverage revenues for assigned groups and affiliate business with minimal variance.
  • Check sleeping room and suite block, special room concessions and rates as outlined in contract with group reservations agents, as well as updating group reservations agents with any changes.
  • Participate in site visits and plan meetings for upcoming groups and potential affiliate business.
  • Review all bills that are sent to the client and accounting, ensuring they are accurate and timely in order to maximize return business.
  • Compile any cancellation/attrition charges for the group.
  • Perform other functions as required and directed by Director of Catering or Director of Sales and Marketing

QUALIFICATIONS

  • College degree preferred but not required
  • Extremely detail oriented and demonstrates the ability to multi-task and adhere to deadlines
  • Effective verbal/written communication, organizational customer service and interpersonal skills.
  • Strong working knowledge of Microsoft Word, Excel, PowerPoint, and CRM or hospitality sales platform experience (Delphi, Opera, Salesforce, etc.)
  • Working knowledge of Marriott sales systems, a plus
  • Extensive knowledge of food and beverage products, proper preparation and presentation of food and beverage items.
  • Extensive knowledge of meeting room capacities, banquet set-up, audio-visual and any other pertinent details as they relate to function room set-up.
  • Possess basic math skills and have the ability to accurately handle billing
  • Professional, college or personal event planning experience a plus
  • Flexible and able to work well independently and as part of a team
  • Strong knowledge of the Seattle Region and various aspects of the local culture a plus

PHYSICAL REQUIREMENTS

  • Most work tasks are performed indoors but outdoor or offsite events may be required.
  • Must be able to sit at a desk for up to 8.5 hours per day.
  • Walking and standing are required. Length of time of these tasks may vary from day to day and task to task and can be up to 5 hours on event days,
  • Must be able to exert well-paced ability to reach other departments of the hotel on a timely basis.
  • Must be able to lift up to 30 lbs. occasionally.
  • Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity.
  • Talking and hearing occur continuously in the process of communicating with guests, supervisors and subordinates; use of these senses will occur on a constant basis.
