Our Client: A well known experiential agency that supports Fortune 500 clients with various events, experiences, and digital marketing services.


Duration: On going As Needed (potential to extend)


Pay: $50/hr on a W2


Part Time


Hybrid in Seattle, WA


**Will need to travel for Events and Event weeks will be more heavy in hours



Our Client is seeking an experienced and dynamic Event Production Manager to lead the execution of high-impact events from conception to completion. This role requires a hands-on professional who excels in planning, organizing, and delivering exceptional onsite experiences. The Event Production Manager will oversee all aspects of event production, including stage setup, location selection, vendor coordination, crew management, and more, ensuring each event runs smoothly and meets the highest standards of quality.




Day In The Life:


Event Planning & Strategy:


  • Collaborate with clients, stakeholders, and internal teams to conceptualize event themes, objectives, and overall experience.
  • Develop detailed event production plans, timelines, and budgets, ensuring all elements are accounted for and aligned with project goals.
  • Conduct site inspections and select appropriate venues that meet logistical and technical requirements.


Stage & Set Design:


  • Lead the design and setup of event stages, including layout, lighting, audio-visual elements, and decor, to create a captivating and functional environment.
  • Work with designers and technical teams to create mood boards, stage plans, and renderings that bring the event vision to life.
  • Oversee the setup and teardown of stages and sets, ensuring all components are installed and dismantled efficiently and safely.


Vendor & Resource Management:


  • Identify, negotiate with, and manage relationships with vendors, including caterers, decorators, audio-visual providers, and rental companies.
  • Source and procure all necessary materials, equipment, and services, ensuring quality and cost-effectiveness.
  • Oversee contracts, payment schedules, and delivery timelines to ensure seamless coordination with vendors.


Production Crew Management:


  • Recruit, hire, and manage a production crew, including stagehands, technicians, and support staff, ensuring all team members understand their roles and responsibilities.
  • Provide training and guidance to crew members, fostering a collaborative and efficient working environment.
  • Develop and distribute detailed call sheets, schedules, and task lists to keep the crew organized and on track.


Event Execution:


  • Oversee the execution of events on-site, managing all aspects of production from setup to tear down.
  • Serve as the primary point of contact for clients, stakeholders, and vendors during the event, addressing any issues or changes in real-time.
  • Ensure all health, safety, and legal regulations are adhered to throughout the event.


Post-Event Management:


  • Conduct post-event evaluations to assess the success of the event and identify areas for improvement.
  • Oversee the dismantling of sets and stages, ensuring the venue is returned to its original state.
  • Manage event-related financials, including finalizing budgets, processing invoices, and reconciling expenses.


Qualifications:


  • Bachelor’s degree in Event Management, Hospitality, Communications, or a related field; relevant experience may substitute for education.
  • 5+ years of experience in event production, with a proven track record of successfully executing large-scale events.
  • Strong knowledge of event production, stage design, and technical requirements (lighting, audio, visual, etc.).
  • Exceptional project management skills, with the ability to juggle multiple tasks and deadlines in a fast-paced environment.
  • Excellent negotiation, communication, and interpersonal skills, with the ability to build strong relationships with clients, vendors, and crew members.
  • Creative problem-solving abilities and a keen eye for detail, ensuring high-quality execution and a seamless event experience.
  • Ability to work flexible hours, including nights, weekends, and holidays, as needed for event execution.
  • Willingness to travel to event locations as required.
