The Opportunity

We are in search of a highly organized Event & Operations Coordinator who possesses a proactive approach to contribute significantly to the execution of our engaging virtual and in-person conferences and events. This position requires frequent interaction with clients, ensuring that every detail is flawlessly managed to consistently provide an outstanding experience.

Key Responsibilities

This role presents a chance to refine your project management capabilities in marketing and operational support, alongside planning, setup, and execution of both onsite and virtual events.

You will collaborate closely with our leadership team to enhance all aspects of virtual and live events as well as company operations.

  • Conference Production: Assist in event planning, manage registration tracking, oversee attendee and speaker coordination, update event websites, and coordinate on-site logistics and vendor relationships.
  • Support for Virtual Workshops and Live Training Webinars: Manage calendar updates, facilitate attendee communications, oversee technical setups, and provide speaker assistance.
  • Marketing Assistance: Contribute to email and social media marketing efforts, update website content, manage databases, and engage in special projects.
  • Operational Support: Handle office management tasks, assist with human resources functions, and promote team culture initiatives.

Required Skills and Qualifications

  • 3 to 5 years of experience in project coordination and administrative support within an office setting.
  • Bachelor's degree in business, marketing, or a related discipline.
  • Familiarity with webinar technology and virtual event platforms.
  • Adaptability to new technologies for optimizing task management (e.g., project management software).
  • Exceptional organizational skills with the ability to establish clear objectives and priorities.
  • A collaborative mindset with the capability to support executives in a dynamic environment.
  • A keen attention to detail, taking pride in accuracy and thoroughness.
  • Strong written and verbal communication skills, emphasizing clarity and conciseness.
  • Ability to work effectively both collaboratively and independently to ensure timely completion of tasks.
  • Proactive initiative with a strong work ethic and sense of urgency.
  • Experience in budget updates and expense tracking.
  • Proficiency in PowerPoint and Excel.
  • Experience with WordPress is a plus.
