Job Description: Perkins Coie is seeking a dynamic, qualified candidate to take on the role of Program and Marketing Events Manager responsible for the day-to-day development, planning, management, and execution of events for the firm's marketing and program efforts. ESSENTIAL FUNCTIONS These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation. Program Support Day-to-day management of substantive program elements including helping the management of cohort lists, program websites/social media accounts, and collaborating with Senior Events Manager to ensure completion of program deliverables. Managing educational session logistics and follow up including scheduling, coordinating speaker preparation, and distributing session materials. Assist Senior Events Manager with cohort selection process. Coordinating all events-related communications, including invitations and collateral pieces, signage, schedules and specialty promotions with the communications and creative teams. Coordinate invitation distribution and RSVP receipt and tracking. Leading appropriate post-mortem evaluation of each event, including a comparison of budget to actual spend and de-briefings with appropriate lawyers and staff. and surveys and/or thank you communications to attendees and speakers. Event Management Working in coordination with lawyers and marketing staff, evaluate the feasibility and viability of future events, and ensure that the internal coordination is seamless to effectively plan client events. Developing event timelines, budgets and themes. Managing all meeting and event location details including event venue, food and beverage requirements/selection, communications, transportation, audio-visual, activities, entertainment, prizes, speakers, etc. Researching sites and negotiating contracts for meeting and event locations with responsibility for managing all deadlines associated with contracted attrition and cancellation policies. Leading appropriate post-mortem evaluation of each event, including a comparison of budget to actual spend and de-briefings with appropriate lawyers and staff. Working closely with vendors and third-party conference representatives to ensure optimal service and value. Managing all vendor payments in a timely manner. Contract negotiation. Providing or sourcing on-site support as required, including significant evening and weekend work. Perform other duties, as assigned. This position may require regular travel. SPECIFIC SKILLS REQUIRED Excellent customer service and interpersonal skills. Adapting quickly and with sound judgment to a variety of situations and demonstrated ability to remain calm under pressure. Planning and managing all aspects of a meeting or event, in coordination with lawyers, members of the marketing team, firm leaders, and other staff. Demonstrated flexibility and adaptability to fit changing needs of the programs. Must be detail-oriented with excellent customer service skills and ability to prioritize. Ability to work with all levels of personnel and diplomatically interact with difficult personalities. SPECIFIC SKILLS PREFERRED Capacity to manage complex stakeholder groups. Experience developing executive communications. Familiarity with media relations. EDUCATION AND EXPERIENCE Qualified candidates must have a bachelor's degree or equivalent, as well as a minimum of five years of program/project management and/or event management experience, preferably in a professional services environment.
