Job Description:

MEI is seeking an organized, proactive, and efficient Office Coordinator with strong coordination skills to join our team. The ideal candidate will play a pivotal role in ensuring the smooth operation of our office by managing a wide range of administrative and clerical tasks. The Office Coordinator will serve as a point of contact for employees and clients, coordinate office activities, and support various departments in maintaining an organized and productive work environment.

Job Duties:

  • Coordinate and oversee daily office operations.
  • Manage office schedules, appointments, and meetings.
  • Greet and assist visitors, clients, vendors and new employees in a professional and courteous manner.
  • Serve as a liaison between different departments to ensure seamless communication and workflow.
  • Process and manage office supplies and inventory, ensuring adequate stock levels.
  • Coordinate travel arrangements and accommodations for staff as needed.
  • Ensure office supplies, including cleaning supplies, are adequately stocked and ordered as needed.
  • Maintain the cleanliness and organization of common areas such as the breakroom, kitchen, and conference rooms.
  • Ensure snacks, beverages, and other provisions in the breakroom are regularly stocked and replenished.
  • Coordinate with building management and vendors for any necessary maintenance or repairs.
  • Arrange catering and other logistics for meetings and events.
  • Assist with basic bookkeeping tasks, such as processing invoices and expense reports.
  • Maintain and track office budget and expenditures.
  • Coordinate with the finance department to ensure timely payment of bills and reimbursements.



Minimum Qualifications:

  • Proven experience as an Office Secretary, Administrative Assistant, or similar role.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Teams, Excel, PowerPoint, Outlook).
  • Familiarity with office management procedures and basic accounting principles.
  • Ability to work independently and as part of a team.
  • High school diploma; additional qualifications in office administration or related field are a plus.
