Medical Office Coordinator Responsibilities:
Patient Coordination and Scheduling:
- Schedule patient appointments and manage the daily appointment calendar.
- Coordinate patient referrals and ensure that all necessary documentation is completed and available.
- Communicate effectively with patients regarding appointment details, preparation instructions, and follow-up care.
Administrative Support:
- Manage front desk operations, including greeting patients, answering phones, and handling patient inquiries.
- Maintain and update electronic health records (EHR), ensuring accuracy and confidentiality.
- Assist with office supply management, inventory control, and ordering as needed.
Billing and Insurance:
- Verify patient insurance coverage and assist with processing claims and authorizations.
- Manage patient billing inquiries, process payments, and handle any discrepancies.
- Coordinate with the billing department to ensure accurate and timely submission of insurance claims.
Office Management:
- Oversee the day-to-day operations of the medical office, ensuring a clean, organized, and welcoming environment.

Medical Office Coordinator Qualifications:
- High school diploma or equivalent; additional education or certification in healthcare administration is preferred.
- Minimum of 2 years’ office experience for a specialty healthcare provider.
- Proficiency with electronic health records (EHR) systems and medical billing software.
- Strong knowledge of medical terminology, insurance processes, and HIPAA regulations.
- Excellent organizational skills and the ability to manage multiple tasks simultaneously.
- Great interpersonal and communication skills, with a focus on patient-centered care.
- Ability to work independently and as part of a team in a fast-paced environment.
