About the Role

We are seeking a highly skilled and organized individual to join our team as a Part-time Office Coordinator at Idera, Inc. This is a unique opportunity to work in a dynamic environment and contribute to the success of our organization.

Key Responsibilities
  • Office Operations
    • Manage the reception area, ensuring a professional and welcoming atmosphere for guests and employees.
    • Coordinate office supplies, refreshments, and kitchen operations to maintain a productive and comfortable work environment.
    • Order lunch for meetings and events as requested.
  • Event Planning
    • Coordinate office events, including birthdays, lunches, company meetings, parties, and board meetings.
  • Administrative Support
    • Manage the office calendar, conference rooms, and visitor Wi-Fi passwords.
    • Maintain company organizational charts, phone lists, and other facility-related duties.
    • Execute onboarding and offboarding activities, including badge access, desk preparation, and business cards.
    • Assist with shipping activities, mail retrieval, and disbursement.
  • Project Coordination
    • Organize and support project preparation to ensure timely delivery.
    • Coordinate travel arrangements and itineraries.
    • Manage document signing and coordination for sales orders, contracts, and other important agreements.
  • Support Functions
    • Act as Fire Marshall and maintain emergency contact lists.
    • Act as a notary for the office.
    • Support the CEO and CFO as needed.
Requirements
  • Education
    • High School Diploma and a minimum of 2-5 years of experience in a diverse office assistant or coordination role.
  • Skills
    • Proficiency in MS Office products, including Word, Excel, PowerPoint, and Visio.
    • Excellent customer service, organization, and attention to detail.
    • Ability to manage multiple demands, work independently, and meet deadlines.
    • Ability to work well with management and employees.
    • Demonstrated ability to handle confidential information and maintain professionalism.
    • Dependable and self-starter with a great attitude.
Work Arrangements

This is a part-time position, with 16-24 hours per week.
