Position Summary

The Program Coordinator II supports the MAP Programs Administration in organizing and managing administrative operations for the MA Psychology Low Residency Department at the Los Angeles campus. Program Coordinator roles generally involve a great variety of tasks and responsibilities centering on support for both faculty and students, with responsibility for managing and implementing systems for scheduling classes, organizing orientations for new students and for adjunct faculty, and more. The Program Coordinator II role is particularly responsible for managing all Department student services. The Program Coordinator II reports to the Director of MAP Program Administration and works in collaboration with other Department staff.

The Program Coordinator II is the primary front-facing position for students and alumni, and manages and oversees all the back-office management related to a highly complex MAP LR Program.

The Program Coordinator II supervises Federal Work Study positions The Program Coordinator II position requires self-direction and autonomy, a high degree of latitude in decision making and problem solving, and exercises initiative, accuracy, accountability, and service excellence in the performance of administrative functions. The Program Coordinator maintains confidentiality on issues related to faculty hiring, salary information, student status and performance, student and faculty grievances, and other program concerns.

The Program Coordinator II has detailed knowledge of, and can articulate the structure and content of the MAP LR Program, including requirements, curriculum, policies, procedures, standards, philosophy, and long-range plans and strategies. The Program Coordinator II is a significant contributor to program development, marketing and outreach, and student recruitment and retention.

Essential Duties and Responsibilities

Program Administration

Monitors effective functioning of the online course evaluation and narrative evaluation systems and accuracy of data in student information systemManages Letter of Concern process, including database, sending letters to students, advisers and other relevant staff and faculty in MAP, record maintenance, and so forth.Coordinates, initiates, and verifies website updates and revisions in accordance with University policies. Coordinates updates and revisions with assigned marketing personnel,Manages general communications with students, faculty, and program alumniResponsible for follow-through on program activities. Assists Chair in managing the program, including academic and special event planning, program development projects, student issues, grievances and petitions.Maintains detailed knowledge of the program, including requirements, curriculum, policies and communicates to students, faculty, prospective students, and other University offices.Monitors program expenditures and tuition income, executes paperwork for authorized expenses, line transfers, and other budget related matters. Assists Chair in using budgetary information to do fiscal planning.Supports recruitment process for MAP LR Program. Takes inquiries and provides program information to prospective students. Arranges for prospective student visitation to MAP LR classes. Assists with the preparation of recruitment materials. Follows up on each new inquiry, initiating phone and e-mail dialogue to answer further questions. Tracks the admissions files of all applicants.Schedules and attends MAP LR program meetings and faculty meetings and manages follow through on all action items.Helps trouble-shoots administrative concerns of faculty such as room scheduling, textbook orders, room set up, and classroom supplies.Develops academic program schedules, adjunct teaching schedules, and other functions germane to the academic operations of the University.Attend meetings to create the quarterly schedule, engage in problem solving, and contribute to the effective operation of the University.Initiate systems and procedural improvements on program administrative and record keeping functions related to all assigned, routine tasks and responsibilities;Consult and collaborate with CTO LR staff to improve internal systems and communications processes with students, and training sites.Communicate between Chair, core, and adjunct faculty, various campus offices, and students on issues relating to Program changes, curriculum, student issues, grievances, petitions, and other University policies.Academic Program SupportOversees the updating, editing, and proofing of academic calendar, student handbook and other program materialsManages, verifies, and reports student data for programs' planning, operating, and reporting needs as well as direct service to studentsSupport to the CTOLR unit by training new staff and administrators on all internal tracking and documentation procedures consistent with the Registrar's conferral process, program graduation requirements and BBS guidelines.Provides additional guidance and support to CTO LR staff during periods of high administrative processing volume.The Program Coordinator assists the Chair with Program Development, recruitment of new potential adjunct faculty, and with monitoring of the quality of courses. They participate with Program faculty in collaborative decision-making concerning the Program and its future directions and serves on various Program and University-wide committees as appropriate.Directs the daily work of work-study personnel, delegating clerical tasks as needed.Maintains archives of course numbers, descriptions and syllabi, and resumes of all faculty.Updates and keeps current materials from potential adjunct faculty.Maintains updated mail and e-mail lists of students and faculty.Acts as liaison between Student Services and Conferral Associate to provide MAP LR support for graduation process.Assists in compiling statistics when required for assessment and other purposes.Prepares and distributes packets for course and workshop evaluation.Student SupportCoordinates new student orientation and any program related residenciesProvides basic advising to students in assigned programsServes as primary point of contact for all student service related concerns.Serves as the liaison with other student services offices, such as the Registrar, Disability Support Services, Student Conduct, Financial Aid, and Student AccountsServes as the primary first stop for students for all program-related questions, processes, and issues. Primary holder of Program and student relationships.Communicates with beginning with welcome communications, registration, through the end of a student's journey in the programTracks all aspects of a student's progress within the Program (manages LOAs-Leaves of Absences, EMS-enrollment maintenance status, graduation requirement tracking and follow- up).Works with Financial Aid, HR, AT, IT, Integrated Student Services, and the Registrar to solve complex student issues and support student success.Maintains Program calendarMaintains MAP LR student recordsWorks with MAP LR Admin. team to solve sometimes complex and challenging student or faculty issues.Liaison to the Admissions Office and works closely with the Admissions staff to ensure timely receipt of application materials and timely and accurate correspondence and follow-up with applicants. They track the admissions files of all applicants.Develops and promotes events for new students and provides online training to students, faculty, and guestsProgram Finance, Budget, Tracking, and AssessmentCollaborates with the Chair to develop the MAP LR budgetMonitors expenditures closely, executes paperwork for authorized expenses, travel reimbursements, and other budget related mattersCollaborates with Chair to hire affiliate and adjunct faculty, and special guests. Executes employment contracts for signature of the Provost. Prepares payroll information and employment materials for human resources and fiscal departments.Assists in compiling statistics when required for program and/or curricular assessment and other purposesPrepares, distributes, and assesses MAP LR evaluation forms, making program adjustments based on this dataMinimum RequirementsBachelor's Degree, Master's Degree preferred3 years of related experience, academic institution experience preferredProficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suites databases.Excellent written and verbal communication, and interpersonal skillsSuperior organizational and time management skillsCommitment to fostering a diverse and inclusive work environment.
