Position Overview

The Lead Academic Consultant plays a pivotal role within the MA Clinical Psychology Program at Antioch University Los Angeles (AULA), directly reporting to the Chair of the MA in Psychology (MAP) program. This position is dedicated to enhancing student achievement by establishing systems, procedures, and proactive measures that assist students in maintaining their academic trajectory. The Lead Academic Consultant fosters supportive relationships with students and collaborates closely with MAP faculty, administrators, and staff to cultivate a shared commitment to student success.

The Lead Academic Consultant elucidates institutional policies and procedures, program and degree prerequisites, and related academic issues, while working in tandem with other institutional support teams to ensure timely and effective responses to student inquiries and support needs. This role also involves assessing student support requirements to facilitate referrals to program faculty, university offices, or community services, ensuring all aspects are addressed appropriately and successfully.

Essential Job Functions

Student Advising and Support

  • Engage with newly admitted students to ensure readiness and address any outstanding issues that may hinder a successful transition.
  • Guide students on institutional policies, program requirements, clinical training prerequisites, and grievance procedures.
  • Assist faculty with student advisement concerns as necessary.
  • Design and conduct training sessions for faculty and staff, creating materials that empower MAP faculty and staff to promote student academic and professional success.
  • Collaborate with institutional staff to ensure that student inquiries are managed effectively and promptly, enhancing the overall student experience while upholding academic integrity and institutional policies.
  • Encourage students to take responsibility for their decisions and understand the implications of those choices on their success.
  • Empower students to maintain strong connections with the institution and its community of learners.
  • Advise students on alternative scheduling options to support their academic progress.
  • Oversee registration activities, petition applications, course transfers, and traineeship documentation in cooperation with other personnel.
  • Create and manage spreadsheets to monitor student progress and provide necessary advisement.
  • Assist in data collection for evaluating program outcomes.
  • Maintain electronic student records and schedules.
  • Possess comprehensive knowledge of the MAP degree program and its concentrations, including requirements, curriculum, policies, and procedures to effectively advise students.

Student Retention

  • Conduct outreach to students at risk of not meeting satisfactory academic progress, including follow-ups with those on academic or financial aid warnings.
  • Proactively monitor student progress to identify at-risk scenarios and develop strategies to enhance student success.
  • Track student progress towards graduation requirements, with a focus on retaining at-risk students.
  • Organize events, seminars, and activities aimed at supporting student success.
  • Act as an advocate for students in addressing requests and complaints.
  • Meet with students as needed to provide support.
  • Create and maintain spreadsheets to track course assignments and instructor allocations, ensuring timely course assignments well in advance.
  • Assist in planning quarterly class schedules for up to two years ahead.
  • Participate in campus safety committees and behavioral intervention teams to monitor and respond to student concerns.
  • Support the execution of on-campus events, including co-hosting graduate preparation meetings.
  • Engage with student council events and initiatives, promoting them among advisees.

Clinical Training Support

  • Maintain a thorough understanding of California Marriage and Family Therapy licensure requirements and a working knowledge of out-of-state licensing standards to effectively advise students and collaborate with the Director of Clinical Training.
  • Assist with the student conferral process in direct collaboration with Clinical Training Office staff.
  • Support student needs and requests throughout their clinical training experiences.
  • Work closely with faculty to address any concerns regarding students' preparedness for clinical training.

Other duties may be assigned by the MAP Chair.

Minimum Requirements

  • Bachelor's degree in Psychology or a closely related field from a regionally accredited institution is required; a Master's degree is preferred.
  • A minimum of 3-5 years of experience in an educational environment, including at least one year of counseling experience, is required. Experience in student advising within higher education, particularly in adult-oriented programs, is preferred.
  • Proven ability to connect and build rapport with students from diverse backgrounds.
  • Proficient in Microsoft Office Suite and Google Suite.
  • Excellent verbal and written communication skills.
  • Strong problem-solving and time management abilities.
