We have an opportunity at our corporate offices in Chicago for a Director, IT Finance and Operations on our Information Technology team. This is a hybrid position reporting into our Chicago, IL office.

As a IT Director Finance and Operations, you will provides leadership within IT to institute, manage, and enforce ITfinancial planning and key financial controls. Responsible for financialmanagement and accounting controls for the Information Technology operatingbudget, and shared expenses across other business units. Including managing processes for competitivebidding, procurement, invoice reconciliation and processing activities;accountability for budget activities, communication and oversight for the AMAcapital and IT operating budget; processing IT contracts; and reporting on ITfinancial performance metrics. Developsand maintains improved forecasting models, including three-year plans, foroperating and capital budgets. Thisposition will support the department's leadership team and will have a closeworking relationship with Finance to insure coordination of best financialpolicies and practices within IT in a manner consistent with the financialrequirements of the AMA.

RESPONSIBILITIES:

Financial Management

  • Oversee the annual finance planning/budgeting processes and prepare the annual operating and capital technology budgets. IT operating budget of ~$40M and organizational capital budget of ~$15M. Works with Finance, IT and business units as appropriate to develop/implement program and organizational budgets.
  • Prepare monthly actuals to budget statements., monitor, interpret and present financial results of operations and programs each month.
  • Serve as financial liaison with Finance, Strategic Sourcing, OGC and other business units.
  • Create and maintain financial controls, policies and procedures. Ensure accurate and efficient processes for contract tracking/renewal alerts, invoice processing, and tracking of "puts and takes" relative to annual budget.
  • Actively seek cost-savings opportunities with the division leadership team and advise on strategies for process improvement in budgetary matters.
  • Serves as product and solution provider contact for all financial and payment inquiries, orchestrating IT's interactions with suppliers and providers (including providers of outsourced services)
  • ensures providers are meeting service levels and helping the AMA drive efficiency.
  • creates and analyzes financial models for insourced/outsourced IT services with a short and long term perspective.
  • Recommend and prepare the IT capital budget, operating budgets and three-year rolling forecasts, coordinating the planning process with senior IT management and Finance.
  • Publishes meaningful metrics of procurement, budget and forecasting activities to demonstrate strong fiscal accountability and optimization of spend.
  • Collaborate with Finance peers to insure IT organization financial information is accurate and timely across both Organizations.
  • Provide Senior Executive level visibility and awareness to projected and actual financial variances by project and cost center on a monthly basis.
  • Manage compensation-related processing for IT, including promotions, onboarding and offboarding requirements, as well as coordinating compensation-related activities for annual merit and incentive processes.
  • Determines the basis for allocation of information technology expenses to business units. Maintains and supports allocation system(s), models, costs; ensures the integrity of allocated IT expenses.
  • Upholds and enforces AMA accounting policies, procedures, and standards.

Operations

  • Oversee CIO office operations and matters relating to facilities, and space in use by IT.
  • Develops and manages tracking mechanisms for organization-wide requirements including but limited to, professional development allocation and planning, HR logistics and metrics associated with staff management (interviewing, onboarding and offboarding), across the organization, and tracking of BU DEI goals.

Staff Management

  • Lead, mentor, and provide management oversight for staff.
  • Responsible for setting objectives, evaluating performance, and developing staff.

May include other responsibilities as assigned

REQUIREMENTS:

  1. Bachelor's degree required; MBA preferred, with emphasis on finance or business administration.
  2. Minimum 10+ years' experience in financial functions such as procurement, budgeting, project accounting, and in developing/implementing/maintaining financial controls. Working knowledge of Generally Accepted Accounting Principles (GAAP) and related regulations needed.
  3. Experience with planning, financial modeling and ongoing accounting for outsourced IT services preferred.
  4. Project Management experience to provide financial oversight and subject matter expertise in selection and management of outsourced vendors.
  5. Operational management experience to provide oversite and direction regarding procedural results and process improvement.
  6. Experience documenting and streamlining processes to improve efficiency and effectiveness, reducing cycle time, driving accuracy and reducing paperwork.
  7. Broad understanding of technology concepts and terminology.
  8. Expert understanding of financial concepts and terms related to IT projects and purchases, including licensing, service fees, capital vs. expense, lease vs. buy, NPV, ROI, etc. and a demonstrated ability to explain concepts and terms to facilitate informed management decision-making. Meticulous attention to detail and accuracy.
  9. Staff management experience required; experience preferred with performance management cycle, including coaching and feedback and employee recognition.
  10. Exceptional presentation skills including demonstrated ability to effectively communicate IT financial progress, issues, and trends to senior management.
  11. Strong interpersonal skills including the ability to work well with people from many different disciplines with varying degrees of technical experience.
  12. Advanced Excel skills including the use of formulas and functions, pivot tables, graphs and charts to support the financial models.
