SUMMARY

The primary purpose of the Endoscopy Scheduler position is to post endoscopy and surgical cases, which are then used to create a daily procedure room schedule for the Endoscopy Center and Endoscopy Travel cases to the emergency center and intensive care unit and operating room.

The ideal candidate will have 1+ years of customer service experience. Previous experience with Endoscopy is preferred.

Shift: 6:30 am - 3:00 pm or 9:00 am - 5:30 pm

JOB SPECIFIC COMPETENCIES

Block Scheduling & Template Management

  • Reviews case requests for endoscopy procedures. Schedule, modify, remove and place add-on cases to the schedule using OneConnect OpTime.
  • Coordinates appropriate procedure date with patient/referring team. Communicates procedure date to appropriate referring team members as necessary.
  • Schedules accurately based on physician specialty, assigned sedation block type (total IV anesthesia and moderate sedation), and equipment and room availability.
  • Collaborates with multidisciplinary team to coordinate patient appointments to insure completion of pre-procedure testing and post-procedure device assessments
  • Manages physician block schedule using Gastroenterology, Hepatology & Nutrition Clinic Template, Inpatient Consults On-Call and ERCP On-Call Schedules.
  • Maintains and updates physician unavailable time using master calendar
  • Maximizes procedure room utilization by releasing procedure blocks during physician unavailable time and extending time to available physician
  • Performs daily reconciliation and optimization of block schedule to insure effectiveness and efficiency of scheduling
  • Reviews individual physician case load in order to identify preferences and requirements related to procedure type, time and facilities.
  • Coordinates procedure rooms based on staffing patterns of physician, anesthesia and procedure type.
  • Reschedules patients within the appropriate time frame as detailed in rescheduling guidelines

Oral and Written Communication

  • Uses excellent oral communication and listening skills to communicate with patient, MDACC physician and clinical staff regarding obstacles to access
  • Responds to myMDAnderson patient inquiries/messages within one business day using In-Basket
  • Responds to In-Basket, email and voice messages in a timely manner
  • Answer phone calls in a timely manner via login to AVAYA system
  • Communicates procedure plan and educates patients about preparation for procedure using triage nurse.
  • Performs pre-procedure phone calls as necessary to assist triage nurse

Registration/Documentation

  • Reviews, update and/or collects complete and accurate demographic and financial data during check-in process to ensure appropriate financial screening of patients. Verifies data during procedure to ensure compliance with required forms and consents.
  • Completely and accurately documents communications with patients and treatment team using OneConnect or email.
  • Updates relevant patient information in order to maintain an accurate patient record. Responsible for the security and confidentiality of patient information at all times.
  • Handles and processes a complex and varied series of documents and situations to optimize scheduling.

Education

Required: High school diploma or equivalent.

Experience

Required : Three years of relevant work experience. May substitute additional education for required experience on a one to one basis.

Must pass pre-employment skills test as required and administered by Human Resources.
