What You Will Do:
The HR Assistant will have primary responsibility for all Student Worker hiring processes with the exception of Federal Work Study Students including departmental needs assessment, budgeting, background checks, reporting and time card approvals. This position will also assist in payroll and HR functions including maintaining databases, updating reports, and organizing files. Partners with HR Generalist, recruiters and hiring managers to assist with the phone screens, interview set ups and onboarding for staff positions within the university.
This position is classified as a full-time position but will work 30 hours per week on campus in Chicago with a flexible schedule to be determined upon hire.
Essential Responsibilities
- Assists departments with all aspects of student employment including but not limited to job posting, recruitment, interview coordination, processing paperwork, background checks and onboarding
- Actively participates in assisting staff and faculty with general HR questions including those related to benefits, performance reviews, recruitment practices, payroll, policies and procedures
- Oversees the payroll process for all student workers to ensure the accuracy and timeliness of time card reporting including accurately entering tax information and other payroll related information into Banner
- Associate's Degree, strongly preferred (several years of relevant experience needed from those without the minimum degree requirement)
- At least one year of relevant Human Resources (or closely related) experience
- Proficiency with Microsoft Office tools including Word, Excel, and PowerPoint
- Ability to manage multiple priorities: Handles multiple assignments and priorities yet still fulfills all commitments. Readily accepts new responsibilities and adapts well to changes in procedures. Gives appropriate priorities to various work demands.
- Ability to solve problems: Takes a proactive approach to anticipating and preventing problems. When problems occur, defines those problems, investigates obstacles, gathers relevant information, decides whether solving the problem should be a group decision, generates and analyzes alternate solutions and arrives at a workable solution.
- Flexible: Adjusts quickly and effectively to changing conditions and demands. Discusses change as a necessary and inevitable aspect of organizational life as well as an opportunity to learn new things. Has a similar view and approach to potentially stressful situations. Invests personal energy toward accepting and adapting to change that others use toward resisting or resenting it.
- Customer Focus: Personally demonstrates that external (or internal) customers are a high priority. Identifies customer needs and expectations and responds to them in a timely and effective manner. Anticipates and prevents delays or other things that can adversely affect the customer. Keeps customers informed about the status of pending actions and inquires about customer satisfaction with products or services.
- Time Management Skills: Prioritizes tasks and manages time to ensure that deadlines are met. Plans his or her time and sticks to those plans. Prevents or manages interruptions until the highest priority tasks are accomplished.
