The Prince George's County Department of The Environment is currently seeking qualified applicants to fill an Administrative Assistant, grade A24, in the Animal Services division.

About the Position
This is a senior-level professional, managerial/supervisory level administrative position in the Department of the Environment, Animal Services Division.

The incumbent assists the Associate Director and Assistant Associate Directors with high level, non-routine professional duties related to Animal Services operations.

A high degree of independent judgment and competent administrative skills are utilized with daily functions. This position is designated "essential" in accordance with DOE Instruction 110.4.

About the AgencyThe Department of the Environment works for a healthy, beautiful and sustainable County through programs that provide clean water, flood control, recycling and waste management, litter prevention, sustainable animal management and pet adoption in partnership with residents and other stakeholders.

Some of our core services include providing clean water services (Stormwater Management Division); flooding prevention for buildings and structures (Sustainability Division and Stormwater Management Division); collecting, processing and diverting waste from the County-operated landfill, commercial facilities and householders (Resource Recovery Division); providing sustainability services to reduce greenhouse gas and emission (Sustainability Division); and facilitating pet adoptions, managing an animal holding facility, issuing pet licenses, investigating cruelty complaints and conducting humane outreach and education events (Animal Services Division).

Examples of Work

Provides the Assistant Associate Director assistance preparing budget forecasts and documents for current and long-term budgets for the Animal Services Division.

Provides administrative support and assistance to the Assistant Associate Director to ensure the smooth operation of the Animal Services Division, Administrative Section, and Project Management.

Drafts, updates, and/or revises personnel correspondence, administrative procedures, and standard operating procedures (SOP's).

Attends meetings in absence of the Assistant Associate Director and ensures Management is informed of any changes that may impact service.

Provides supervision of the Administrative Aides and staff, as needed.

Represents the Division in a manner that applies tact, courtesy, and diplomacy in the performance of all customer service duties.

Assists with and reviews the preparation of the annual budget documents and procurement forecasts.
Reviews budget forecasts for the annual capital improvement projects (CIP), capital outlay, enterprise fund, operations, and post-closure accounts.
Monitors the section's invoices using an automated invoice tracker.
Conducts reviews of the invoice payment processes and ensures invoices are handled within the established time-frame.

Receives and reviews all requests for field purchase orders, credit card requests, payment requests, encumbrance of funds, printing, stores requests, purchase requisitions, and any other associated documents for review.

Prepares and reviews detailed reports, letters, and memorandums related to the Division.
Thoroughly reviews all reports submitted for accuracy, professional quality, and conformance to County guidelines and standards.
Prepares and/or compiles monthly office reports for submission to Associated/Assistant Associate Director and Regulatory Agencies.
Receives requests for IT assistance and forwards them to the Department's Information Technology Office, DoE HelpDesk, for immediate assistance.
Reports all requests to the DoE IT staff and maintain records for all requests processed.

Performs task duties assigned which may not be specifically listed in the position description but are within the general, occupational category and responsibility level typically associated with the employee's class of work.

Qualifications

Bachelor's degree in Business Administration, Public Administration, or closely related field; plus,
Two (2) years of progressively responsible senior-level administrative experience in the government field.
An equivalent combination of education and experience will be considered.

Preferred Qualifications:
Previous experience performing administrative duties is preferred.
Comprehensive knowledge and experience utilizing Microsoft Office – Word, Excel, Outlook, and PowerPoint.
The ability to take initiative, judgment, independent decision making, and customer service skills is also preferred.
