Position Summary


Reporting directly to the CEO, the Senior Executive Coordinator is responsible for managing the schedules and communications of key executives within the company.

Key responsibilities include:

  • Managing Schedules: Organize and coordinate meetings, conferences, teleconferences, and travel arrangements for executives. Maintain calendars, prioritize communications, and document meeting notes.
  • Handling Communications: Receive and review incoming communications on behalf of senior staff, summarizing and distributing relevant information to appropriate personnel. Greet guests and manage inquiries effectively.
  • Office Management: Execute clerical and administrative tasks, including drafting correspondence, reports, and other documents for senior staff. Organize and maintain both paper and electronic filing systems.
  • Travel Coordination: Arrange travel logistics and accommodations for executives, including transportation and meal planning.
  • Board Governance: Schedule and attend Board meetings, prepare necessary materials, and take minutes during meetings.

Experience and Professional Qualifications


To excel in this role, candidates should possess:

  • Exceptional verbal and written communication skills.
  • A Bachelor's Degree in a business or communications field.
  • A minimum of 5 years of experience as a senior-level administrative or executive assistant.
  • 5 years of experience in the private sector.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and other standard software applications.

Work Environment


This position primarily involves the use of standard office equipment such as computers, phones, and photocopiers. The role is predominantly office-based, and proficiency in operating common office equipment is essential.


Physical Demands


While the job is primarily desk-based, it also requires significant walking, standing, bending, and the ability to lift and/or move items weighing up to 25 pounds.


Travel


Travel may be required within the United States.
