Position Background:

We are looking for a team member to join Elevate, Longfellow’s tenant engagement platform for our Redwood City, Palo Alto, San Mateo campus’ as an Administrator, Tenant Experience. This is an extraordinary destination for the life science community, and Longfellow Real Estate partner’s tenant engagement program, Elevate, is the heart of what transpires on campus. Longfellow is looking for an energetic, people loving, passionate event planner and tenant communicator -someone who knows how to activate all our amenity spaces in memorable ways that support our tenant engagement strategy and tenant growth goals. Elevate has high expectations of quality, sophistication and attention to detail reflected in all spaces and events and values the strong relationships developed between tenants and the Longfellow team.



The candidate for the Tenant Experience Administrator role must have a passion for events and the organization to make them possible. They must also know how to develop strong partnerships (fitness manager, 3rd party vendors, restaurant management, etc.) with internal and external stakeholders to develop programming that engages our tenants and aligns with the strategic pillars of Elevate. A prominent level of attention to detail and accuracy is required for budgeting and managing cost tracking. This role works closely with our property management team and would oversee a day-porter responsible for maintaining the amenity spaces.

Role Responsibilities:

  • Manage a robust tenant relations program and event schedule;
  • Coordinate scheduling of on-site vendors, catering, services, and events;
  • Develop and maintain strong relationship with tenants and vendors;
  • Manage private event and space bookings, ensuring processes are followed
  • Assist with social media marketing;
  • Administrative duties to support Elevate Bay Area;
  • Greet guests and organize impromptu tours of the Elevate space;
  • Maintain a budget and expenses for tenant events and amenity programs;
  • Process and submit vendor invoices for payment
  • Update event/program schedules and tenant communication on Elevate by Longfellow app and in monthly newsletters
  • Submit marketing material requests, post signage and work with marketing to develop creative marketing materials
  • Present new concepts and ideas for creative projects leveraging amenity spaces
  • Assist on various ad hoc projects that arise



Qualifications:

  • Bachelor’s Degree preferred
  • Event planning and vendor coordination experience
  • Excellent oral and written communication skills
  • Must be highly proficient in Microsoft Office
  • Ability to handle multiple tasks with strong organizational skills
  • Detail oriented with independent work ethic
  • Basic knowledge of payables/receivables
  • Ability to establish successful 3rd party vendor relationships
  • History of providing high level of customer service
  • Experience working across departments and with multiple stakeholders
  • Friendly, welcoming demeaner with a positive can-do attitude
