Job Overview

The Reception Operations Coordinator is responsible for managing the flow of visitors and tenants at the facility while ensuring a secure environment through effective monitoring and surveillance. This role includes maintaining logs and promptly alerting staff to any unusual occurrences.

Work Schedule: Night Shift (12 am - 8 am)

Key Responsibilities:

  • Ensure the safety and security of clients from both internal and external threats.
  • Welcome clients and guests with professionalism.
  • Maintain and update the visitor logbook accurately.
  • Handle incoming calls and direct them to the appropriate personnel.
  • Provide general information and refer inquiries to the relevant staff.
  • Continuously observe the behavior of residents, clients, and guests.
  • Report incidents to the supervisor and Program Manager, adhering to established protocols.
  • Monitor surveillance cameras and secure entry points.
  • Assist residents in submitting maintenance requests.
  • Manage incoming mail and packages for residents.
  • Document daily activities and occurrences in the staff log.
  • Help maintain a clean and safe reception area.
  • Prepare security alerts and incident reports as necessary.
  • Conduct regular walkthroughs of the facility.
  • Participate in staff meetings and training sessions.
  • Utilize de-escalation techniques to manage potential crises and notify authorities when necessary.
  • Perform additional duties as assigned by the supervisor.

Qualifications:

  • High school diploma or equivalent.
  • At least 6 to 12 months of relevant experience; a combination of education and experience may be considered.
  • Proficient in Microsoft Office Suite (Word, Excel) and Adobe applications.
  • Ability to operate monitoring and surveillance systems effectively.
  • Strong interpersonal skills to foster positive relationships among tenants.
  • Commitment to advocating for residents and maintaining a supportive environment.
