Job Overview

The Reception Operations Coordinator is responsible for managing the flow of individuals entering and exiting the premises while ensuring the safety and security of the environment. This role involves utilizing surveillance systems, maintaining logs, and observing activities to report any unusual occurrences.

Key Responsibilities:

  • Ensure the safety and security of clients from both internal and external threats.
  • Welcome clients and visitors warmly.
  • Maintain and update the visitor log accurately.
  • Handle incoming calls and direct them to the appropriate personnel.
  • Provide general information and refer inquiries to the right staff.
  • Continuously observe the behavior of residents, clients, and guests.
  • Report incidents to the supervisor and Program Manager, adhering to established protocols.
  • Monitor surveillance cameras and secure entry points.
  • Assist residents in completing maintenance requests.
  • Manage in-house mail and packages efficiently.
  • Document daily activities and occurrences in the staff log.
  • Help maintain a clean and safe reception area.
  • Prepare security alerts and incident reports as necessary.
  • Conduct regular walkthroughs of the facility.
  • Participate in staff meetings and training sessions.
  • Utilize de-escalation techniques to manage potential crises and notify authorities when necessary.
  • Perform additional duties as assigned by the supervisor.

Qualifications:

  • High school diploma or equivalent.
  • At least 6 to 12 months of relevant experience; a combination of education and experience may be considered.
  • Proficient in Microsoft Office Suite (Word, Excel) and Adobe applications.
  • Ability to operate monitoring and surveillance systems effectively.
  • Skilled in fostering positive relationships among tenants and staff.
  • Strong advocacy skills for residents.

Availability:

Qualified candidates must be available to work overnight shifts.
